To begin submitting a Dropbox assignment, you will first need to log into Brightspace . Once you are logged in, select the course with the Dropbox assignment via the pulldown menu at the top of the page or via the My Courses section on the right of the News on the Brightspace homepage.
Dropbox is a tool within Brightspace that is used to gather assignments from students. These can be essays and reports in the form of document files, speeches and presentations in the form of audio or video files, or anything else your teacher might assign for you to complete outside of Brightspace .
The quickest way to notice your Dropbox assignments from the others is the Dropbox logo below.
When you access a Dropbox assignment, it should give you directions from your teacher at the top and below there should be three buttons, Upload , Record , and Choose Existing . Although Record and Choose Existing are present, only use Upload to submit your assignments.
After clicking Upload , your File Browser should open. From here, you will want to find the file you created to complete the assignment and then click Open .
Once you have uploaded your work to Dropbox, it will appear below the Upload, Record, and Choose Existing buttons. Make sure this is the assignment you want to submit and click Submit to Dropbox.
Once you have clicked Submit to Dropbox , it will now show your assignment under Submissions and give the date and time you submitted your work. A confirmation email will be sent to your teacher to notify them that you have submitted work for them to review.
Once your teacher has reviewed your assignment, they may provide feedback in the form of comments and corrections, a grade for the assignment, or a request to make changes and submit again.
Regardless of what type of feedback your teacher leaves, you will be notified in your My Courses section on the Brightspace homepage. From here you should see a green box with a number indicating the notifications for that course.
Creating a dropbox assignment
- Log in as a D2L Brightspace instructor.
- Select the course that you'd like to create an assignment in.

- Select the blue New Folder button.
- Give your folder a name.
- Select the Submission & Completion section.
- Under the Allowable File Extensions section, choose Compatible with Turnitin .

Select the Manage Turnitin link from the Turnitin integration section.

It is now possible to use the Similarity Report and/or and Online Grading separately for an assignment. Howevwer, if your institution's account has Online Grading access enabled, there will no longer be a column created in the Brightspace assignment subfolder.
- Under Transfer , select Automatically sync grades as Draft in Brightspace .
Under Display , select Allow learners to see Turnitin similarity scores in their Dropbox folder .

What types of files can I upload into the dropbox?
All files submitted to assignments folders must have appropriate file extensions (e.g. .doc, .pdf, .rtf).
The formatting of your document may look different than the original file. The original file can be downloaded using a link at the top of the window.

File submission errors
When I attempt to upload a file into the dropbox using a file from Google Drive, I see the following error message:
"An error occurred downloading your document. Try again in five minutes. If the error persists, contact your administrator."
When uploading a document that was created within Google Docs, rename the file in Google Docs. To do that, download the file and rename it. Then, upload the newly renamed file back into Google Drive. Finally, in Brightspace, visit the dropbox and upload the renamed file from Google Drive.
It is also possible to download the file from Google Drive to your computer and then upload it into the dropbox.
I am not able to submit an assignment. When I attempt to upload a file, I get a generic error message. Why is this happening?
When naming a file, keep the file name short and avoid any special characters such as \ / : * ? “ < > | ~ # % & + { } . For more information about file submission errors visit this site .
Your file size may be too big. If Turnitin is enabled, the file must be less than 100 MB. If your file is larger than 100 MB, you can reduce its size by splitting it up into smaller files.

Please follow these steps to ensure that your students can see and submit to the dropbox/assignment folder:

To submit to an Assignment / Dropbox:
Within your course, select Assignments/Dropbox (the name may vary based on your institution).
Select the folder to which you wish to submit.

How to delete a Dropbox submission
Once a file has been submitted successfully to the Dropbox Folder, you cannot delete it.
For your next steps:
- The folder allows for an unlimited number of submissions.
- The folder only keeps the most recent submission, and removes the others.
- The folder only allows a single submission.
- Submit the newer file.
- Contact your instructor and let them know of your resubmission.
- Contact your instructor and inform them you would like to resubmit the file.
An error message appears when accessing a Dropbox folder
This error may occur if you do not have access to the linked Dropbox folder.
If you encounter an error message, contact your instructor to inform them. They must correct the link so that it directs you to the correct Dropbox.
How to confirm that a Dropbox submission was successful
There are 3 ways you can confirm that your submission was successful.
Every submission sends an email to your account confirm the file was submitted.
- Depending on your school, this may be sent to either your school email or your Brightspace email.
The Dropbox tool allows you to review all your submissions by clicking View History.
Choose a folder from the Dropdown, and click Apply.
The Submissions column shows how many submissions you've made to each folder.
- Clicking on the number will show your submissions to that folder.
Your file does not finish uploading to the Dropbox
This is often the result of attempting to upload a file that is too large.
Try the following to resolve the issue:
- If you are using Wi-Fi, switch to a wired internet connection.
- Switch an Internet connection with a faster upload speed.
- NOTE: We recommend first confirming whether your instructor has allowed you to make multiple submissions to the dropbox.
- Compress the file
Error message appears when uploading a file
This issue can occur if there is an Illegal Character in the name of the Document that you are trying to upload: (Ex. "@:#$%^>).
To resolve this issue:
- Open the document on your computer.
- Click Save As.
- Ex. Rename a document from "War&Peace".docx to WarAndPeace.dox.
- Try uploading your document again.

Setting up Dropbox folder and associate it with a grade item
The Brightspace Dropbox folder is an where students upload assignments such as documents, images, audio and video files. A separate Dropbox folder is required for each assessment item submission. Linking each Dropbox Folder to the associated Gradebook assessment item guarantees that grades assigned in the Dropbox folder are automatically published to Gradebook.
Before starting creating a dropbox make sure you have created a grade item and set up your gradebook with the recommended gradebook settings .

We will create a Dropbox folder for a term paper grade item:

1. In the Navigation Bar, click Assessments . In the dropdown menu, click Dropbox .

2. Click New Folder .

3. Name the Dropbox Folder. Type in Instructions for the assignment. Click on Add Attachment (the cloud with the arrow) to add files or click on Record Audio or Record Video to add a recording of assignment details.

4. Grade and Grade Item
Set the maximum grade for the assignment by clicking “Ungraded” under Grade Out Of .

By default this will create a new grade item . You must choose Edit or Link to Existing grade item to link to the existing item in the gradebook. Note: When you select Edit or Link Existing it will show the name of the assignment, if this is the same as the grade item, it may look like it will link, but will actually create a second grade item with the same name. Make sure you select Link to an existing grade item and then choose the grade item to link to .

If you set a Due Date any submission by a student after that date will be marked as late when you view submissions. Due dates are automatically posted in the calendar (hosted on the Course Home page).
5. Availability Dates & Conditions
Under Availability Dates & Conditions you can select when and how the assignment appears for students generally and for specific groups of students.
Click on Availability Dates & Conditions tab to add a Start Date and End Date to the assignment. On the Start Date the assignment will become visible to students in Brightspace and on the End date is will become invisible.
Click on the date and time to access the calendar and times.

Attach conditions to the Dropbox folder being available to students based on their progress through the course. Click on Create New to create a new condition or click on Add Existing to add an existing release condition.

You can set special access for students by clicking the Manage Special Access button.

This will bring up a dialog that will allow either give some students special due dates, or limit the dropbox to specific students.

To allow specific students access to the Dropbox folder outside the set availability, click on Allow users with special access to submit outside the normal availability dates for this folder.
To allow only specific students access to the Dropbox folder, click on Allow only users with special access to see this folder.
Click on Add Users to Special Access after checking either options and then select preferred options and students and click on Save when done.

6. Submission, Completion and Categorization
The settings to adjust how students hand in the assignment are under Submission & Completion.
Click on Individual Assignment to get submissions from individuals. To get submission from a group where all group members have the same grade, click on Group Assignment and select the Group Category .

Note: Group Category must be created beforehand. Follow the instructions here to create a group.
For your course, you may have different requirements for each assignment and an online file submission may not always be necessary. For example, some assignments may just require text-based answers or links to websites, or they involve paper-based submissions, in-person presentations or on-the-job demonstration of skills, etc.

File submission allows students to upload files to Brightspace which you can then view or download.
You can choose whether students are allowed to upload unlimited files or limit them to a single file, depending on your assignment specification.
Allowable File Extensions allows you to limit the types of files students submit.

- No Restrictions – Students may submit any type of file, except for file types that are automatically restricted for security reasons .
- PDF Only – Students may only submit .pdf files.
- Annotatable Files – Students may submit any file which Brightspace can display in the reader. This includes most types of files produced by Microsoft Office, most types of text files and most image files.
- Files that can be previewed without conversion – Students may submit any file which Brightspace may display directly. This mostly includes HTML files.
- Images and Videos – Students may submit most common image and video. Note that videos will still be limited to the upload size cap.

Text submission allows students use the Brightspace editor to provide an answer directly within Brightspace.
Upon successful submission for both files and text, students will receive an automated confirmation email.
On-paper submission and Observed-in-person submission types have 3 completion options.
- Manually by Learner – The onus is on the student to mark the assignment as complete
- Automatically on the due date – D2L automatically marks the assignment as complete on a due date set by the instructor
- Automatically on evaluation – D2L automatically marks the assignment as complete when the instructor evaluates the assignment using any of the assessment methods in D2L. As instructor, if you notice that a student has not met the requirements for an assignment, then you can mark the assignment as incomplete for the student and follow up with them.

To receive email notifications when submissions are made, type in your preferred email address. This is not advisable for a large class.

7. Evaluation and Feedback
Under Evaluation and Feedback you can attach rubrics to the dropbox.
Click on Add Rubric to add a pre-existing rubric or to create a new rubric.

Once attached you can click on the rubric to show the details of the rubric.

If you are using Learning Objectives in your course shell you can connect them to the dropbox.
If you intend to annotate student submissions while providing feedback, make sure you check the Make annotation tools available for assessment checkbox.
8. Click on Save and New to save the current Dropbox and create a new Dropbox, click Save and Close to return to the main Dropbox Folder page.

Submit an Assignment
1. Click Select a course.
2. Select the course that you want to submit your assignment to.
3. Click Assessments.
4. On the drop-down menu, click Dropbox.
5. When you click the Dropbox button, it will take you to a screen that will list all of the available assignments for the course. Click on the assignment that you want to submit.
6. Scroll to the bottom of the page and click Add a File to attach your assignment.
7. Your assignment will often be saved on the computer you are using. Click My Computer.
10. Once you have uploaded your assignment file, click Add.
11. After you have clicked on Add, you will be brought back to your assignment page. Your file will now be attached.
12. You can now click Submit, located at the bottom, left-hand side of the window. Your assignment file will now be sent to your instructor.

The Dropbox tool lets you submit assignments within D2L, eliminating the need to mail, fax, or email assignments. Simply upload your assignment to the appropriate folder. To access this tool click Dropbox under Assessments on the course Navbar.
In the Dropbox you will find Folders for each of the assignments you are required to submit. Any attachments required for an assignment will be listed for you to download. You can also see here if you have submitted any files to this folder and if the instructor has left a score or feedback for you regarding your submission..

To access the folder, click on it's name. This will take you inside the folder where you can submit your completed assignment file. The image below shows what the inside of a Dropbox folder with minimal instructions may look like.
