28 Best (and free) Task Management Software to Help You at Work

Are you looking for free task management software? We know that it can sometimes feel different using tools to manage your tasks, instead of old-fashioned ways such as writing what you need to do on paper. And we also know that with so many options on the market, it becomes a hard task to choose what’s best for your business.

But don’t worry, this article will guide you through the top 28 tools that can help you manage your work with tasks. You are going to understand what task management is and understand why it’s essential to give some of these different software a chance to help you out in your day-to-day.

What is task management?

Task management is an essential part of work projects and for most of our personal lives too. Some people may think that it is just controlling their daily to-dos with checklists. But no.

Since your tasks are the building blocks of plans, projects, and whatever is necessary to keep life in order, managing them requires a few steps. The main steps are tracking, adding deadlines, and delegation, when it comes to collaboration inside teams.

That’s why notepads, pens, or even spreadsheets aren’t enough for more complex contexts anymore. These solutions are too simple when you need to collaborate with other people or organize your to-dos in a way you can easily track their progress.

Task management software is built specifically for the purpose of improving your experience while managing your to-dos, and they are essential for people who want to organize your work and enhance your productivity.

Why use a task management tool?

There are many benefits of switching from a simple way of listing your tasks on software:

Organize workload

Usually, information is split into many channels, and you are always switching between tools to figure out your tasks. It decreases your productivity and makes you lose a lot of time. By managing your tasks in just one software, you can easily keep your workload organized, gathering all the information necessary to work on them.

Facilitate team collaboration

Many tasks need to be assigned to other people, and for that action, you need to take many steps when you don’t have a specific tool. On task management software, you are just one click away from sending a task with its details to a teammate.

Track work progress

Without a due date and development stages, it becomes challenging to track your performance in a project. A task manager will provide features to help you meet the deadlines, and make clear what are the next steps for a particular task.

28 best free task management software

Here is a complete list of the best task management software in the market, for both individuals and teams, with their respective features. All of them have free versions, some with limited, but functional features to manage tasks.

Most of these task management freemium tools are more suitable for individuals, freelancers, small teams, and businesses. Check out our top 28 task management tools so you can analyze the pros and cons and make the best choice.

You can quickly navigate between them to see further details:

27. Monday work management

Monday.com ‘s work-free task management software is a flexible task management tool for companies of any size. One of the key features is managing and tracking incoming requests. That makes it a valuable tool for customer support teams and other client-facing roles. As for organization, Monday’s powerful dashboard feature aggregates data about your projects and can be accessed from desktops and mobile devices.

The free version allows up to 2 team members, 1,000 items, and 500 MB of storage. If you need more power, you can add a paid plan, starting at $8/seat/month

  • Integration with other monday.com’s software

Chanty is a free task management software and communication hub for deadline-driven teams. It was developed with IT specialists and programmers in mind. The basic goal of this tool is to make conversations faster and easier to follow within a digital workspace. The app has a start menu called Teambook that directs the user to pending tasks, conversations, and shared links. There’s also a Kanban board view, that allows people to monitor the progress of each task.

The free version includes one-on-one audio calls, voice messages, and built-in task management, with 20GB of storage for teams of up to 10. If you need extra features and storage space, the business plan costs $3/user/month.

  • Pinned messages
  • Public and private conversations

How to choose the best free task management software?

A decision like this requires analyzing your needs, expectations, and how your current workflow is settled right now. What features are essential for you? How many people are going to use this tool? For example, if you are part of a team of 10 people, you can already eliminate some of the tools on the top 28.

Besides, for team collaboration, you need to check if the software is easy to use; if it has a delegation feature, and how straightforward the onboarding is going to be. After all, no one wants to spend long weeks learning a new sophisticated tool and losing essential time because of that.

Another essential piece of advice is to check the tool reviews in directories like G2 and Capterra . On websites like these, you can easily find the pros and cons, as well as use cases that may apply to a similar situation to yours.

The best free project management software in 2024

These are the 8 best options for free task management software..

Hero image with the logos of the best free project management software

Everyone has a different way of managing projects. Some people like to use their inbox to keep track of tasks. Others prefer to visualize work on a Kanban board or in a calendar view, while some even prefer the old pen and paper system.

That's fine on an individual level, but when you collaborate on projects as a team, you need a flexible and capable project management tool that works for everyone. And with so many teams still working remotely, there's an even more pressing need for a task management app that can help track projects, collaborate, and keep everyone in the loop.

As a freelance writer, I've worked inside tons of different project management setups across my clients—I've seen how each app approaches the standard features, the potential of great, streamlined collaboration, and the consequences of poor project management.

The 8 best free project management tools

Trello for visually managing projects

Asana for teams

ClickUp for customized task views

Wrike for spreadsheet-like features

ActiveCollab for freelancers and small agency teams

Airtable for building a customized project management app

Jira for developers

Height for AI features

What makes the best free project management tool?

How we evaluate and test apps.

All of our best apps roundups are written by humans who've spent much of their careers using, testing, and writing about software. We spend dozens of hours researching and testing apps, using each app as it's intended to be used and evaluating it against the criteria we set for the category. We're never paid for placement in our articles from any app or for links to any site—we value the trust readers put in us to offer authentic evaluations of the categories and apps we review. For more details on our process, read the full rundown of how we select apps to feature on the Zapier blog .

To narrow down the list of the best free project management online tools, I looked for apps that met the following criteria:

Free for unlimited projects. All the project tracking software I chose lets you manage an unlimited number of projects for free.

Hosted. There are a lot of great, free, self-hosted project management applications, but they take longer to set up and manage. I was looking at task management software that's hosted by the companies that provide the tools. If you're interested in free, self-hosted project management software, I'd recommend checking out Taiga , Lavagna , and Redmine .

Collaboration and sharing features. The free project management apps included here make it quick and easy to add team members to your project management setup and control user types and permissions.

Flexibility. The best project managers are flexible enough to handle multiple teams, project types, and organization styles, so I looked for apps that support a number of different views and project management methodologies .

Integrations. A great project tracker should fit seamlessly into the rest of your stack, so I've only included apps that integrate with other popular software like email and Slack, calendars, document storage, and more.

After filtering for those criteria, I ran each remaining contender through a similar testing protocol that included:

Going through the signup process and any onboarding provided

Creating a new project and choosing a primary methodology (Kanban, Scrum, Gantt, etc.) or view (list, table, calendar, etc.) for it

Creating a number of new tasks and adding various details, like due dates, links and attachments, user assignments, and more

Toggling between view options and testing out any additional methodologies offered

Inviting new users and setting permissions

Toggling between team-wide and individual views

Testing out any unique features like time tracking, client views, or AI

After running each app through that workflow, I landed on the top eight free online project manager tools you see below.

Note: I selected tools that offer web apps (though many offer synchronized web, mobile, and desktop apps). If it's not important to you that your project planner is accessible online, you may also want to consider ProjectLibre and GanttProject in addition to the apps listed below. Both of these tools are powerful desktop-only apps that are designed to be alternatives to Microsoft Project.

The best free project management software at a glance

Best free project management software for visually managing projects, trello (web, macos, windows, ios, android).

Trello, our pick for the best free project management software for visually managing projects

Trello pros:

Super customizable boards with unlimited Power-Ups

Most visual UI of any of the apps I tested

Tons of templates to get you started

Trello cons:

Free users are limited to Kanban

User/team management features require an upgrade

Trello is simple project management software that gives you a way to organize your projects with Kanban boards. And with a generous free plan that allows for 10 boards per workspace and unlimited users, it's a tool that anyone can use. Freelancers can use Trello to plan their assignments on a personal board, and teams can use Trello to build a complete project workflow with visibility at every stage.

Start by creating a new board from scratch or choosing a template from dozens of options across marketing, sales, design, team management, and more. Add a handful of lists for your tasks (each list is a column), and customize those lists with the steps in your workflow (e.g., to-do, doing, and done) or as separate parts of your project (e.g., development, design, and distribution). Next, add your tasks as visual cards in each column—with labels, due dates, members, checklists, images, attachments, and comments to keep everything in one place.

As you start completing tasks, simply drag the cards to the appropriate list. You can keep track of all comments and tasks that mention you—or that you're watching—from the activity menu.

For more features, Trello's Power-Up options (now unlimited even on the free plan) let you view tasks on a calendar, add voting options on tasks, fade away old tasks automatically, and much more. And you can make Trello boards for everything —personal and work tasks alike—to get your work done in a way that best fits your needs.

For even more flexibility, use Trello's Zapier integrations to connect Trello with your favorite apps, like Gmail and Slack. Or check out these 6 ways to automate Trello .

Best free project management software for teams

Asana (web, ios, android).

Asana, our pick for the best free project management software for teams

Asana pros:

Flexible with project management methodologies between projects and users

Great, focused My Tasks view

To-do list style made better with team features

Asana cons:

Expensive upgrade

Your to-do list isn't bad—you just need a few more features to manage your team projects. Asana offers just that. It's a project management tool that lets you break projects down into sections and sub-lists, along with dashboards to see how much of the project has been completed already. You'll add, rearrange, and complete tasks the same way you would in a to-do list app, but with the collaboration and organization features you need to work as a team.

For your personal tasks—or the things at work that don't fit into a precise project—you can make extra lists in Asana that are only shared with specific people. Your own assigned tasks will also show up in your My Tasks view for a quick way to see the things you need to take care of.

Whether you're working solo or with a team, you can automate Asana with Asana's Zapier integrations , letting you connect project information to other apps. Try one of the workflows below, or get inspiration from these automations from real users .

Best free project management software for customized task views

Clickup (web, ios, android).

ClickUp, our pick for the best free project management software for customized task views

ClickUp pros:

11 different task views and 4 page views to choose from

Super generous free plan

ClickUp cons:

More involved set-up process

Potential for some lag during testing

Most project management apps let you choose from only a handful of task views, like a list, calendar, or Kanban view. Additional views, especially Gantt charts, are usually a premium feature. ClickUp is different.

It's a simple and free project management app that lets you choose from 11 different task views, including Gantt charts and mind maps. There are also four different page views: Chat (which displays conversations alongside your tasks), Doc (which lets you create docs, wikis, and knowledge bases), and Embed (to add apps and websites next to your tasks).

ClickUp's dashboards are just as customizable, letting you choose from more than 20 different widgets, so you can only highlight the most important project information. Plus, with a newly revamped task details screen, you can view details, create subtasks, and add attachments more easily than you could before—you can even track time right inside the task.

There's a lot to parse when you're first getting started with ClickUp. The onboarding process won't be as simple as Trello, for example, but the extra customization is worth it—especially when it's completely free. Plus, the company has done a great job with guided in-app onboarding to get you started.

With ClickUp's Zapier integrations , you can connect ClickUp with your favorite apps. Try one of the automations below, or read about why ClickUp users love Zapier .

ClickUp price: The free plan includes unlimited tasks and users, up to 100MB of storage, and up to 60 uses of Gantt charts, mind maps, dashboards, and timeline views. Upgrade to the Unlimited plan for $7/user/month for unlimited list, board, calendar, and Gantt views, unlimited dashboards, and guests and permissions.

Tip: If you're a HubSpot user, you can create new tickets from ClickUp, and then use contact or customer information to launch personalized marketing campaigns.

Best free project management software for spreadsheet-like features

Wrike (web, windows, mac, ios, android).

Wrike, our pick for the best free project management software for spreadsheet-like features

Wrike pros:

Spreadsheet-esque UI

Best-in-class project tracking features

Wrike cons:

More limited free plan than most

Less customizable

If it were up to you, would you manage your projects in a spreadsheet? If so, you might like Wrike. Wrike offers the same flexibility of a spreadsheet—with columns for every bit of info you want to track about tasks. (If you like spreadsheets but need even more customization, head down to our review of Airtable .)

Wrike lets your team update the status of tasks at various intervals—in-progress, on hold, canceled, or completed. Additionally, you can set the status of projects to green, yellow, red, on hold, or canceled, making it easy to create your weekly project status reports.

While you can do a lot with Wrike's free plan, its best features—including time tracking, Gantt charts, and custom dashboards—do require a premium plan. If you're running a small operation now but planning to scale in the future, Wrike grows alongside you, giving you all of the tools you need to run both a single small project and many concurrent large ones.

If you're interested in the free plan, Wrike's Zapier integrations can help you do more with the project management app, like automatically creating tasks in Wrike from other tools.

Share tasks in Wrike via Slack messages

Create Wrike tasks from Trello cards

Wrike price: The free plan includes unlimited projects for unlimited users; upgrade for $9.80/user/month (billed annually) to the Team plan that includes Gantt charts, shareable dashboards, and more.

Best free project management software for freelancers and small agency teams

Activecollab (web, windows, macos, ios, android).

ActiveCollab, our pick for the best free project management software for freelancers and small agency teams

ActiveCollab pros:

Built-in features for time tracking, billing, and expenses

Capable user permissions

ActiveCollab cons:

Less flexible for use cases beyond client management

Free plan and Plus plans limited to 3 users

If you're looking to manage client projects and other details like invoicing and time tracking in one place, ActiveCollab is a great option.

Built for agencies and freelancers, the app includes thoughtful details to streamline client management. You can estimate and track time for each task, set the task as billable (or not), and manage expenses right from the task details screen.

Even the free plan includes capable user permissions that make it easy to let clients into your process without exposing anything you don't want to. Simply check the Hidden from clients box to hide any task from client users, or add the Client+ add-on to enable a more collaborative user role for more hands-on clients. Select Workload from the left-hand menu to manage assignments and team bandwidth, and click on Reports to get a pulse on client invoices and payments, projects and tasks across the team, and track time and expenses.

With ActiveCollab, you can quickly create and send professional-looking estimates and invoices and integrate with your payment processing or accounting software to streamline billing. You can also connect ActiveCollab with Zapier to automate task creation, notifications and updates, and more.

Create tasks in Active Collab from new labeled Gmail emails [Business Gmail Accounts Only]

Active Collab logo

Post new comments from Active Collab to Slack

ActiveCollab price: The free plan includes unlimited projects and tasks for up to 3 members, with task dependencies, and list and Kanban views. Upgrade to the Plus plan for $9.50/month (for 3 members) to add Gantt and calendar views, project templates and recurring tasks, and more.

While ActiveCollab has a more generous free plan, Paymo is another great option built for managing a client-centric workflow. I didn't include it here because the free plan is limited to one user and three clients. But if you have a smaller operation, Paymo is a user-friendly alternative with strong client and billing management features, including unlimited time tracking and invoices.

Best free project management software for building a customized app

Airtable (web, ios, android).

Airtable, our pick for the best free project management software for building a customized app

Airtable pros:

The most customizable app on this list

Lots of templates to help with initial setup

Airtable cons:

More involved setup process

Less familiar interface than most

Most expensive upgrade on this list

If you've tried other project management software and haven't found the one , Airtable will let you build it. The app is ready out-of-the-box with a default view similar to a spreadsheet, and it suggests a handful of templated projects based on your team within the company. You can start from one of the suggested templates, browse the rest, or build your own project (called a "base") from scratch.

But the real power of Airtable happens when you customize it . It will take some upfront effort to tailor Airtable to be exactly what you need—but if you're willing to spend the time, the sky's the limit. You can customize everything from the methodology and view type to column headers, field types, data validation, and more.

Head over to the Marketplace to choose from over 80 apps that help you integrate, analyze, and enrich your projects, or build your own custom apps. Airtable also integrates with Zapier , so you can do things like automatically track important information in Airtable, get notifications for activity in your Airtable base, and more .

Create detailed events in Google Calendar from new Airtable records in views

Airtable logo

Add new Typeform entries to Airtable as records

Airtable price: The free plan includes unlimited bases, up to 5 users, 1,000 records per base, and 6 view options, including grid, calendar, and Kanban; upgrade for $20/user/month to the Team plan for 50,000 records per base, 20GB of attachments, Gantt and timeline view, and more.

Best free project management software for Agile software development teams

Jira (web, ios, android).

Jira, our pick for the best free project management software for Agile software development teams

Purpose-built for developers and engineers

Prominent issue tracker

Over 1,000 integrations

Limited free plan

Not flexible for use across diverse teams

While the app also offers a Kanban view, Jira is built for Scrum and Agile workflows. When you first sign up, the onboarding flow asks a few questions about your team's projects, level of experience with different methodologies, and deadlines—then it recommends a methodology and project template for you.

For Scrum projects, you'll add epics to the Roadmap page. Then you can add issues to your backlog individually, filling in details and assigning them to sprints. Project tracking happens on a Scrum board, the homepage for each project—you can customize column headers and edit task details and status.

Jira's catering to developers and engineering teams doesn't stop there: the app also integrates with other development tools like GitHub, GitLab, Sentry, and Jenkins to make quick work of updating and tracking your backlog. And while you can't control user access on the free plan, it does include up to 10 users, so it's ideal for self-contained or smaller dev teams.

You can get more out of the free plan by using Jira's Zapier integrations to automatically create new issues in Jira based on Slack messages or GitHub issues. Try these Zaps and check out more ways to automate Jira .

Create Jira Software Cloud issues from new messages posted to a Slack channel

Generate Jira Software issues from new GitHub issues

Jira price: The free plan includes unlimited projects on one site, up to 10 users, and both Scrum and Kanban boards; upgrade to the Standard plan for $7.75/user/month for more granular user permissions, 250 GB of file storage, and more.

See how Trello and Jira stack up in our app comparison, or take a look at Asana vs. Jira .

Best free AI project management software

Height (web, mac).

Height, our pick for the best AI project management software

Height pros:

Generous free plan

Genuinely useful AI features

Height cons:

Less flexible Kanban view

Height is a great option if you're looking for genuinely useful AI features. While some of the apps I tested offer AI-powered features, most either require a paid plan or just aren't that intelligent. Height is different.

The app doesn't overpromise on AI, but it definitely delivers. The feature (called Copilot) is still in beta and likely to be revamped in a major way when the company launches Height 2.0 (which I haven't tested). Even still, today's version can already generate a catch-up summary of a task's chat history, create subtasks from chat messages, auto-detect duplicate tasks, suggest task improvements, and more. (You can see auto-generated subtasks in the screenshot I took above.)

By this time next year, many of the other project management apps on this list may well offer these same features, but for now, they're a big stand-out for Height.

And with four clean view options (spreadsheet, calendar, Kanban, and Gantt) all available for free—plus unlimited users, 100 automation runs per month, and full access to Copilot—Height also offers a competitively generous free plan.

You can do even more with Height by connecting it to Zapier to automate task creation, notifications, and more. Here are some examples.

Create new Height tasks from Slack mentions

Height logo

Create detailed Google Calendar events for new Height tasks assigned to users

Create height tasks for new or updated airtable records.

Height price: The free plan includes unlimited tasks and users, spreadsheet, Kanban, Gantt, and Calendar views, 100 automation runs, and AI task management features. Upgrade to the Team plan for $6.99/user/month to get unlimited lists and custom attributes, full search history, 100 MB file uploads, and more.

What's the best free project planning software?

Honestly, online project management tools are a dime a dozen. And a lot of them will advertise "free" plans that aren't really free—meaning you can't actually manage all your projects without upgrading. The best free task management software will let you do what you need to do without spending a dime. And, as your needs change, they'll support you with more robust features at higher tiers.

The good news: free project planning software is...free. So you can test your options, see what you like (and what you don't), and then decide. Here are more tips on how to choose online project management software .

3 free task manager tools to inspire your team’s best work

task management free online

If you’re a project manager or leading a small team, the list of tasks to get through every day can seem endless. It’s challenging for a company of any size to keep on top of different aspects of task management without relying on any software.

The right software that covers your project management needs can dramatically improve your team’s productivity — no matter the size of your team or scope of your project.

If you’re a start-up or a small team who is looking for something budget-friendly, you’ll probably be looking for a free task management tool to help your team with managing tasks. In this article, we’ll check out key features of a few free task manager tools, and see how they can help your team. We’ll also examine whether a paid task manager may be necessary to scale and grow your business.

Let’s get right into it.

What is a task manager tool?

A task manager tool is a software or app that is used by an individual or team to help them plan, schedule, prioritize, and visualize tasks effectively.

There are different types of online task management software available — from basic spreadsheet software and Kanban boards to a full-blown project management software with advanced functionality, like monday.com Work OS:

monday.com task management software

Get started with monday.com

Most cloud-based task management software providers available today will allow you to:

  • Create and organize tasks, set deadlines, and assign tasks to team members.
  • Update tasks and project information, and communicate with your team easily.
  • View your workflow, task status, and visualize progress across a timeline
  • Streamline your workflow by setting up automations so that routine work is taken care of.
  • Integrate your work easily with your preferred apps and tools.

And the above are just the beginning. You can achieve much more with a task management software.

What are the benefits of using a task manager tool?

Managing multiple projects and schedules needn’t be a massive headache as long as you’re using the right task management software.

From tracking the progress of your tasks to easy collaboration with your team, there are several benefits of using a task manager to manage your workflow.

Here are some benefits and how it can help teams stay organized:

  • Keep all your work in one place

When there are different moving parts to keep on top of, an online task management software gives you a centralized system to work from. You can see your team’s entire workload in a single place, track project progress, and update schedules and timelines as needed.

monday.com timeline view

Result? Everyone’s on the same page, working towards the same goal.

  • Prioritize your workload

A task management app allows you to prioritize your tasks so that you can complete the most important ones first. It helps you visualize your workflow on a timeline so that you can have a clear idea of who’s working on what, and be aware of upcoming deadlines.

You can also easily update project information or make changes as you progress along your timeline.

  • Improve team collaboration

It can help you coordinate work and update team members by leaving comments, uploading files, and discussing timelines.

Some tools include an in-app chat function that can allow you to communicate with your team easily, saving hours spent on meetings or email back-and-forth.

  • Access your information, anywhere

In the current age of flexible working and multiple devices, it’s essential that a task management solution syncs across devices and updates in real-time. This means you can access your task list and project information from anywhere, and anyplace, as long as you have an internet connection.

Free task manager software options

ClickUp is an online task management tool that is designed to help you create, manage, and track your tasks.

ClickUp has a ton of varied features, but small teams can find it overwhelming to understand some functionality and may waste time trying to figure out what works the best for them.

  • Create and assign tasks to multiple owners and prioritize them by importance so that your team knows what to work on first.
  • Update task details, attach files, and change formatting by simply typing a /slash. This will launch a menu of shortcuts to helpful commands.
  • Add comments and tag users — communicate with your team in real-time with their in-app chat functionality.
  • Integrates with several cloud storage, communications, time tracking, and calendar apps.

2. Basecamp

Project management tool Basecamp breaks down all your work into separate projects. Each project includes everything you need to get your project tasks completed — files, documents, team members, deadlines, and conversations.

However, Basecamp’s free plan is limited to up to 20 users and is better suited for personal use, freelancers, or small teams.

The Magic Behind Effective Team Management

If you’re a project or team manager, you most likely know that the biggest challenge of this work is managing a team. It’s difficult because of the differences between people, various work habits, or points of view.

But it’s also difficult because it requires constant monitoring of the team and their work progress. It’s also about being able to collaborate and communicate with them. That’s why many project managers decide to use team project management software to organize tasks

But in order to fully use the potential of such software in your organization, you need to know how to effectively manage your team with 6 simple steps:

  • Be transparent —have respect for your team and use their skills, and they will be happy. Remember, a happy employee is a productive employee!
  • Communicate  to keep things transparent and collaborate better.
  • Encourage collaboration —collaboration improves information flow and work alignment. Make sure all the team members are always on the same page.
  • Provide honest feedback —employees need to know how they perform. Provide objective assessment so people can find areas for improvement and work on their skills to better perform their tasks
  • Trust your team —they know what they do, and they will do it amazingly if you let them.
  • Prevent burnout —let your team take breaks, delegate tasks, and take a day off. That way they’ll be more effective and will have the mental and physical strength needed for work.

All the magic behind effective team management is hidden in the use of the right techniques along with dedicated software .

Why Use Free Team Task Tools?

Different people use task management software for different reasons.

When you’re choosing a free task manager app, you should consider such aspects as:

  • The industry you work in
  • The business model of your organization
  • Whether you work as a freelancer, remote worker, or in the office
  • How big your team is
  • And what features you’ll need to address all your business needs

It’s important to think it through since not every task management solution will be suitable for you.

Nevertheless, using such apps has only benefits. A task management tool helps to  organize and schedule work, keep you updated on the task or project progress, optimize processes, and automate work .

If you haven’t implemented a task management software yet, it’s high time you did!

What people think about task management with ClickUp

“I honestly wouldn’t last two minutes in my job without ClickUp holding all my tasks and being the brain that remembers what I need to work on, when my deadlines are, where to reference information, all the little details individual to each area of work and a thousand other things.” — G2Crowd

“I liked that every one of us (we were a 10-men dev team featuring 2x QA, SCM, PO and DEVS) was able to create as many customized views and lists and what-not. Aggregation worked amazing – especially when grouping things together for exports and reporting subtasks – we used that a lot for “task-scoping” (basically task breakdown) and on the business plan it also allowed us to assign hour estimates.” — GetApp

However, they still fall short when it comes to team management , as you can’t assign multiple people to a single task.

Guess they want you to-do things all on your own!

Check out the best Todoist alternatives .

  • Integrations with hundreds of apps
  • Easy task creation
  • Progress tracking
  • Task queues

Price: HubSpot starts free, with premium CRM plans starting from $45/month.

managing tasks in taskqueue

Taskque is one of the best task managers that’s a step up over a regular to-do list app. It’s a great tool for resource management and can assign tasks to the next available team member.

It works well for teams that are working on the same functions, with similar skills. Instead of being a broad management tool with no focus, Taskque can quickly assign tasks to zero down on your work.

Unfortunately, it’s going to be a tough tasque working with its limited integrations and no time tracking.

Taskque Key Features

  • Automatic task assignment
  • Discussions
  • A powerful to-do list app
  • Workflow management
  • Exclusive permissions
  • Expanded workspaces

Price : Free to $5/user per month.

task management free online

If you’re a project manager who likes using a Gantt chart, Flow could be the best task tracking software for you. Most of the projects are color-coded to help you quickly navigate between individual tasks and projects in your workflow.

Additionally, templates and repeat projects help users when they need to do a project repeatedly or stage another event.

The one drawback of this management app?

Don’t use it if you’re looking for a free task management tool. There’s no free plan!

Flow Key Features

  • A list of tasks with card views
  • Drag and drop timeline
  • Workflow management features
  • Public and private projects

Price : $4.79/user/month and up

Tasks and projects are front and center in this management solution. The central dashboard features all of your tasks and can be arranged by the due date, project, or team.

Your teammates are listed on the right side, and you can automatically drag tasks from the central task area to your team members. Once this is done, each teammate is assigned the task, and it becomes part of their workflow.

Speaking of your workflow, any good task management software should be able to offer you easy task planning and scheduling features to streamlines your workflow.

To make Trello efficient for complex projects, you’ll have to upgrade for features like project timeline templates or priorities.

Why do that when there are tools that offer that in their free plans?

Take a look at the best Trello alternatives , and don’t forget to compare Trello with ClickUp !

Quire nests tasks within cards in a Kanban board to unfurl your next steps within each card.

This online task management software also has powerful filtering options to help you pick out the tasks that need to be completed first.

As perfect as it sounds, it has a-Quire-d its share of flaws. The most striking one is its lack of a built-in chat feature!

The key differentiator for this task-tracking software is that you can select a core focus for each day. Things lay on a small layer of project management that has sections on comments, tasks, and subtasks.

Do remember, every web-based task management feature is premium because there’s no free task plan for your desktop, iPhone, and iPad.

Any other concerns about this task management system ?

Things is only available on Mac and iOS.

Things Key Features

  • Calendar events
  • Morning, afternoon, evening slots
  • Section headings
  • Mac OS shortcuts

Price : One-time charge of $49.99

Clockify Schedule feature for projects

Although widely known for its time tracking capabilities, Clockify can be a solution to your task management problems, too.

You can use Clockify to manage all your tasks, to-dos, and projects. Additionally, it’s suitable for individuals, such as freelancers and independent consultants, and companies and teams of all sizes.

The app offers a free task timer that you can use to track the hours you and your team spend working on tasks — and then uses that data to calculate billable hours.

The only drawback is that Clockify covers a wide range of time tracking and invoicing features which can be overwhelming if your idea is to use it solely as a task management app.

Clockify Key Features

  • Categorize your time entries into specific tasks.
  • Assign tasks to people and set time estimates for each task.
  • Manage your tasks — edit them, mark them as done, or delete them.

  • Integrate the app with 80+ other project management and productivity tools.

project management in accelo

Another great feature of this management app is the number of integrations. These include Google Drive, Office 365, Outlook, internet safety software; you name it. Accelo also helps you monitor estimates, invoicing, scheduling, and billing more so than any other task management app.

Accelo is capable of so much, but it accel-erates your company at a cost.

It doesn’t have a free plan. And $39 per user per month, you’ll be spending a small fortune each month!

Accelo Key Features

  • Team scheduling templates
  • Time tracking templates
  • Automated timesheet

Price : $39 to $79/user per month

task management in taskworld

To be quick and to the point, this management app looks a lot like Trello (or maybe Trello looks a lot like Taskworld?)

The point is…if you enjoy the layout of Trello but need a few more features, then Taskworld is probably worth a look. Their reporting, task points, and activity log look stronger than Trello’s for sure.

Why Do You Need Task Management Software?

1. task management software helps you organize work.

We know you and your team work on multiple tasks every day!

Project tasks, HR activities , social media posts, invoicing, the list goes on.

Now try and imagine handling all of that with a pen and paper, or even an Excel sheet .

Unfortunately, this is all too common.

According to a recent study by ClickUp , 42% of employed Americans feel that they do not have all the technology and tools, such as task management apps, to succeed at work! Nearly half (45%) would give up 10% of their salary for an easier work life.

There’s no way you can keep track of every project task, meet your deadlines, track progress, and manage your team without a dedicated tool .

Luckily, task management tools are designed for this, acting as a safeguard against going crazy!

It’s a dedicated space to monitor your task progress, assign tasks, and manage schedules. It ensures that you’re able to efficiently track tasks and subtasks so that you meet your deadlines.

2. Task management software helps your team collaborate effectively

Your task management tool will improve not only your in-office and/or virtual team’s tasks but also your team collaboration capabilities.

As each task has a dedicated space, it’s easier for your team to consolidate information and work on things together. Also, as every assignee has access to this task space, nobody will be left out of the loop.

Your team can easily share files, ideas, and feedback to collaborate over tasks and get things done quickly.

3. Task management software helps you prioritize tasks

All tasks were not created equal.

While every task needs to be addressed, some are more important than others.

So what do you do?

You start prioritizing tasks.

For example, finishing a client’s project is probably more important than deciding what your office party’s theme is, right?

Your task management tool will help you prioritize tasks to work on what’s most important immediately.

What are Features of a Great Task Management Tool?

  • Comprehensive Integrations – Does this tool integrate with a variety of apps such as Google Calendar, Slack, Salesforce, Zapier, Bugsnag, etc?
  • Tracking Task Progress – Is it easy to see which stage in the project everyone is and how you and your team are arriving at your goals? Can you visualize the project from many different views?
  • Responsive Customer Support – Does the task management solution offer quick chat and email response times in case you need help?
  • Ease of Use – Can it be used by beginners and expert project managers alike? Can it be adopted by both code and no-code teams and can collaboration exist between departments?
  • Intuitive Flexibility – Can it be used for an infinite number of use cases? Can you execute task planning not only for marketing campaigns and software development, but also for personal goals and university projects?
  • Frequent Updates and Features – Is the team behind the task management platform dedicated to crushing bugs, shipping new features, and listening to their users’ feedback?

These are some of the criteria we use to evaluate the task management platform, but you’ll be able to decide for yourself after reading through this list.

Test out some of the best free task management software to help you decide what you like and don’t like. Some online project and task management tools offer free trials. Be wary of those tools because you know a sales pitch will be coming at the end!
  • Read the reviews of task management apps . Unless you love trying out new software as a hobby, you’ll probably want to see how others have used them. They may even show you a new way of using the software. You’ll also learn of any problems in that online task management software too.
  • Check out the roadmap . Just because an online task management software doesn’t have the features you want doesn’t mean it won’t be there tomorrow. The best software companies are constantly iterating and releasing new features regularly.

Best free task management software

Monthly fee

What you should know.

ClickUp is an all-in-one solution for organizing your tasks, teams and projects. We chose ClickUp as the best task management software because it allows unlimited users and tasks and automates recurring assignments. The home screen is an impressive feature, as it centralizes all assigned comments and allows you to add new tasks with the drag-and-drop tool.

Although ClickUp doesn’t restrict the usage of checklists or dependencies, once users use a certain number of goals or milestones, this feature is blocked until the plan is upgraded. Unlike Trello, you can’t connect ClickUp’s free version to Google Drive or Dropbox. It’s also a bit more challenging for beginners than a straightforward platform.

Pros and cons

  • Unlimited tasks and members on the free version.
  • Provides task checklists and dependencies.
  • Home feature shows your daily agenda and tasks.
  • The free plan is only good for sole proprietorships.
  • Usage limits don’t reset.
  • More complex to configure than Trello.

Best for remote team task management

Business managers leverage Monday.com’s intuitive work management platform to assign tasks and oversee progress. It supports diverse workforces with highly rated mobile apps, pre-made templates and drag-and-drop functionality. It is easy to customize the task manager board to display due dates and handle multiple departments. Consequently, we chose Monday.com as the best task management software for managing remote teams due to its automations, integrations and updates section that keeps employees informed.

While finding a downside to Monday.com is challenging, the free and Basic versions are disappointing. Both lack integrations and calendar views, which Trello provides. Companies with more complex tasks may prefer Asana because it supports dependencies on the less expensive Premium plan ($13.49 monthly versus Monday.com’s $20).

  • Daily task manager dashboards and views.
  • Drag-and-drop tools are user-friendly.
  • Updates section shows recent comments or changes.
  • Limited views on the Basic plan.
  • The free version isn’t for teams.
  • Only Pro and Enterprise users can set dependencies.

Most customizable task-tracking tool

Airtable is a unique cloud-based platform companies use to build custom no-code apps. Unlike other task-tracking tools, you can start from scratch or choose a base published by Airtable users. As our top pick as the most customizable task management software, Airtable stands out for its automation capabilities, sub-task options and multiple views (up to 1,000 per table).

While the free version allows unlimited bases, only five people can edit it. Paid subscriptions are pricier than competitors, making Airtable less budget-friendly than other solutions. It also offers fewer customer support options and may take a bit longer to set up compared to Asana or Monday.com.

  • Many base templates created by Airbase users.
  • Highly customizable for various workflows.
  • Can track sub-tasks and automate notifications.
  • More expensive than other task management apps.
  • No phone support available.
  • Not an out-of-box task-tracking tool.

Best for content creators

Notion is a block-based project and task management app. Users add a to-do list to every page or insert one list block per project. We selected Notion as the best task management software for content creators because it has over 50 content blocks, supports guest collaborators (like freelancers or clients) and allows custom dashboards. Creators can sort design tasks by category or client and customize fields by due date or team member.

However, Notion’s free version is more limited than ClickUp’s complimentary plan. It’s best for a single content creator. While Notion offers several task management templates, it requires a bit more configuration than Trello. Notion has various templates for tracking hours but lacks the built-in billable hours feature, making Teamwork perfect for virtual assistants.

  • Customizable task management dashboards.
  • Built-in text editor.
  • 10 to 250 guest collaborators.
  • No built-in or automated client billing tools.
  • The free task management app is only for sole proprietorships.
  • Slight learning curve for new users.

Best for client task management

Teamwork’s task-tracking tools help virtual assistants and agencies handle workloads for one or more customers. We named Teamwork the best task management software for client task management because it allows users to establish task lists, get immediate progress updates and view dependencies. Aside from all the basics, like setting due dates and assigning work, Teamwork lets businesses track billable hours, improve time estimates and chat with co-workers or contractors.

However, Teamwork doesn’t provide much storage space compared to competitors. The 50 GB and 100 GB limits on Starter and Deliver plans pale in comparison to Notion and Asana’s unlimited offerings. Moreover, we wish Teamwork included additional reports and the tasklist budgets feature on lower-priced packages.

  • Plans include billable time tracking.
  • Integrated team chat.
  • Unlimited tasklist templates.
  • Limited reports on most subscriptions.
  • Tasklist budgets only available on top-tier plans.
  • Less cloud storage than Notion or Asana.

Best for SMBs managing complex tasks

Asana’s collaborative work management system enables small and medium-sized business (SMB) leaders to break down high-level tasks into manageable parts for individuals and departments. The my tasks view lets employees visualize assignments, priorities and changes in real time. The automation features make Asana the best task management software for SMBs managing complex tasks. Teams can create tasks from a meeting, email or Slack message, share status updates to third-party tools or change task dates in team calendars.

Although leaders can assign many collaborators to a task, only one person is the “assignee” and can view the task under “My tasks.” This could pose an issue for projects with two or more responsible parties. Asana locks time-tracking tools behind the more expensive Business tier, whereas Teamwork includes built-in features on the free version. However, you can integrate third-party apps with Asana with all subscriptions.

  • Paid plans show task dependencies.
  • Automates actions across third-party tools.
  • Unlimited file storage.
  • More expensive than Teamwork for time tracking tools.
  • Only one assignee per task.
  • 24/7 support limited to Enterprise users.

Best for reporting to senior leaders

Smartsheet takes the familiar spreadsheet for tracking tasks to a new level. Users can create custom dashboards and reports to find at-risk, due or not yet assigned tasks. Or quickly generate reports to see all tasks assigned to specific employees. It supports sharing permissions so companies can send task lists to internal and external stakeholders. Smartsheet is the best task management software for reporting to senior leaders because it provides real-time metrics and high-level data for keeping executives informed.

While senior leaders may appreciate the progress summaries, everyday users may be less enthused. Smartsheets can be trickier to navigate than Asana or Monday.com. The Pro plan maxes out at 10 users, and Business costs $32 per user monthly. Companies that require skills-based resource management or digital asset tools could pay even higher prices.

  • Automated recurring reminders and alerts.
  • Task scheduling and task list sharing.
  • Real-time metrics and reporting options.
  • Steeper learning curve for new users.
  • Some functions or features may require add-ons.
  • Pro plan is limited to 10 users.

Best for light task management

Confluence, an Atlassian product, is a team collaboration workspace that integrates with Jira. Companies use Confluence to develop knowledge bases for high-stakes projects. Users can add tasks to a requirements or meetings notes page. Putting action items anywhere is possible, making Confluence the best task management software for flexible light task management. We like tagging tasks with due dates and seeing a task list in our profile.

Yet, Confluence lacks the deeper task management features of other solutions like ClickUp and Monday.com. It doesn’t monitor milestones or offer billable time tracking. Also, companies that don’t use Confluence or Jira for current projects will find the software less helpful in tracking tasks.

  • Coordinates with Jira.
  • Tasks report blueprint shows team or project-specific tasks.
  • Multiple ways to view tasks.
  • Not for managing task scope and milestones.
  • Lacks billable time tracking.
  • Not a standalone time-tracking solution.

Best for large software development teams

Jira, an Atlassian product, is an agile project and task management system designed to mirror your company’s workflows, whatever those may be. This customizable solution gives powerful insights into task histories, status and workflows. Jira is our top pick as the best task management software for large development teams, thanks to its expansive integrations and drag-and-drop automations. We appreciate the interactive timelines and ability to create custom fields.

Companies that require advanced planning tools, like mapping dependencies or managing team capacity, must select the Premium or Enterprise plans. These subscriptions also provide unlimited file storage, whereas the other plans are limited (2 GB to 250 GB). While Jira helps large software development teams manage tasks, it can be overkill for smaller creative teams or service-based agencies.

  • Supports multiple assignees and custom fields.
  • Drag-and-drop automation.
  • Integrates with thousands of third-party apps.
  • Advanced planning tools only available for Premium and Enterprise users.
  • Limited file storage on the Free and Standard plan.
  • More complex interface than Monday.com.

Best for branding and marketing startups

Trello is a visual task management tool from Atlassian. Unlike Jira or Confluence, Trello is widely known for its user-friendly interface. Add a task and due date to a card, assign it to a team member and drag it to a column. Break large tasks into bite-size chunks by adding a checklist to a card and alert co-workers when the assignment is ready. Trello is the best task management software for brand and marketing startups because it’s free (or inexpensive) and simple to use.

However, as your agency grows, managing large projects is challenging on Trello. It doesn’t show dependencies and falls behind competitors in reporting options. You’ll need to upgrade for timeline and dashboard views.

  • Many task management templates.
  • Unlimited power-ups and file storage.
  • Easy to add task checklists to individual cards.
  • Lacks robust reporting tools.
  • Not for managing complex tasks or projects.
  • Limited views on Standard and free plans.

We extensively research the key competitors within an industry to determine the best products and services for your business. Our experts identify the factors that matter most to business owners, including pricing, features and customer support, to ensure that our recommendations offer well-rounded products that will meet the needs of various small businesses.

We collect extensive data to narrow our best list to reputable, easy-to-use products with stand-out features at a reasonable price point. And we look at user reviews to ensure that business owners like you are satisfied with our top picks’ services. We use the same rubric to assess companies within a particular space so you can confidently follow our blueprint to the best task management software of 2023.

The best task management software has positive user reviews on customer review sites and app stores. Task management software companies should provide customers with fast and reliable support. Using a combination of phone support, live chat and knowledge bases, customers should be able to quickly resolve issues 24/7.

Task management software should have role assignment features, timelines and dependencies. It should also allow businesses to use customizable templates, track expenses and track milestones.

And the best task management software should offer client access, billing and invoice capabilities and budgeting features.

Task management software helps individuals and companies track job or project-related assignments from a central location. Most task-tracking apps or to-do list tools let users create sub-tasks, establish due dates and monitor task progress.

These cloud-based tools typically offer mobile apps, allowing users to view tasks from iOS and Android phones, and any changes made on the mobile app update automatically when viewed on the desktop version.

Task management apps have different formats and functionality for creating to-do lists and managing tasks, but many systems work like this:

  • A team leader or individual makes a standalone task or turns a comment, meeting action item or Slack message into a task.
  • They assign themselves or one or more co-workers the task.
  • Depending on the software, the user may add a due date, priority level, description and other details in custom fields.
  • The assignees may receive an alert and new tasks or status updates appear on their main profile or dashboard.
  • Leaders can run reports, automate status notifications or view progress on dashboards.
  • Task management tools may have in-app messaging or chat features, support file attachments or let users complete the project within the software.

Workflows and task assignments vary by company, and the best task management software should fit your process and require minimal process changes by your team. Follow these steps to identify the right system for your organization.

1. Determine your budget and goals

Task management and to-do list apps charge a per-user fee. Many offer free versions, which could work for freelancers, solopreneurs, small teams or startups. However, free task-tracking tools often have usage limits or lack automation and other advanced features.

If your funds are tight, consider starting with free task management apps or free project management software to stretch your budget and see which team members benefit the most from the software.

Companies choose online task managers to improve accountability and reduce missed deadlines. Yet, a virtual assistant needs a tool that tracks billable client hours, whereas a manager might want a powerful real-time dashboard for managing a remote workforce. Likewise, a software development company’s goals differ from those of a branding and marketing startup.

2. Consult with your team for a feature wishlist

Involve team leaders and employees in the early stages. Features desired by an office or remote worker may differ from those required by leaders or business owners. Therefore, it’s crucial to hear from people in various roles.

Consider the following task management features:

  • Task and sub-task creation, scheduling and assignment.
  • Ability to assign tasks to multiple people.
  • Recurring tasks.
  • Different task views (calendar, list, dashboard or Gantt).
  • Priority levels.
  • Collaboration tools, like in-app messaging or chat.
  • Time tracking, billable hours or timesheets.
  • Progress updates, reports and status monitoring.
  • Automation capabilities.

3. Identify top-rated task management apps

Read guides rating the top task and project management systems to understand your options. Then, check out mobile apps and user reviews to see how business users rate their experience.

Look for details about ease of use and customer support wait times. Head to each vendor’s pricing page to see if your must-have features are within your budget. Lastly, use your criteria and insights to narrow your list to a handful of task management tools.

4. Test software and request feedback

The best apps for task management provide free trials or versions, allowing businesses to test them before committing. Encourage your team and leaders in different positions to assign tasks and run reports.

Ask these questions:

  • Could you assign, track and manage tasks on the mobile apps?
  • How would you rate the setup and learning process?
  • Did features work as expected?
  • Were task priorities clear?
  • How easy was it to switch between views or task lists?
  • Did the format or visual structure make sense to you?
  • What customizations do you think are essential?

* Monday.com requires a three-user minimum. ** Teamwork has a three-user minimum for Starter and Deliver and a five-user minimum for Grow.  ***Smartsheet Business requires a minimum of three users. ****Trello Enterprise is billed annually.

Task management software ranges from $6 to $24 per user monthly for base plans. Most vendors provide discounts for annual prepayment, reducing the cost of entry-tier subscriptions by $1 to $4 monthly. At the high end, prices range from $11.55 to $54.00 per user monthly, and annual prepayment decreases monthly costs by $2.50 to $9.00. Several services have enterprise packages with custom pricing available.

Eight out of 10 task management apps have a free trial. Teamwork, Asana and Smartsheet give companies 30 days to test paid versions, which is a fantastic deal. However, all vendors offer a free version of their task management tools. Yet, only two users can access Monday.com’s free plan, whereas Trello says you can invite your whole team.

Organize your to-do list and manage tasks by choosing a free task management app. You can download it on your cell phone and computer to track personal and professional tasks. Free task management tools include Trello, Asana and ClickUp.

Successful task management is a critical first step to understanding your team’s workload and resources.

The best task software for task management helps your company:

  • Increase productivity: By automating manual tasks, reducing app switching and centralizing task lists, employees can accomplish more work instead of completing administrative jobs or other data entry tasks.
  • Track costs: Many task management apps offer time tracking tools or integrations, which can help leaders understand how employees use their time or how much effort goes into a project.
  • Improve focus: Team managers can set priority levels, due dates and goals to keep staff moving forward. Task management apps eliminate background noise and put main tasks front and center.
  • Boost engagement: With in-app chat, comment features and real-time updates, employees can interact with each other and use the task management tool to stay engaged with their work and workplace.
  • Ensure accountability: Online task managers increase visibility into who’s doing what and when. It helps individuals take responsibility for their role. They can provide an update as long as they have an internet connection.

The best-rated task management solutions take a multi-layered approach to data security. Many maintain ISO (International Organization for Standardization) certification, which verifies that its security system adheres to certain guidelines. Vendors may also be certified by PCI-DSS (Payment Card Industry Data Security Standard) and FedRAMP (Federal Risk and Authorization Management Program).

They use or maintain data centers under strict operating conditions with the same compliance standards and certifications. Vulnerability detection and bug bounty programs also actively look for potential security issues.

The Microsoft Project logo.

While Microsoft has been slowly embedding writing and editing AI features into its project for years, it has a new project management focused feature called Copilot that is currently available as a “preview” for US customers. Unfortunately, Copilot will come at a steep cost: Microsoft is going to charge $30 per user per month when it becomes widely available. Copilot can be used to generate task plans, assess potential risks, retrieve project status reports and provide assistance through a chat interface.

Copilot is currently available as a “preview” for US customers.

Microsoft Project offers five total plans: three for the cloud-based subscription, and two for the on-premises solution. A 30-day free trial is available for the cloud-based solution.

For cloud-based subscriptions:

  • Project Plan 1 costs $10 per user per month.
  • Project Plan 3 costs $30 per user per month.
  • Project Plan 5 costs $55 per user per month.

For on-premises solutions:

  • Project Standard 2021 costs $679.99 for a license for one PC.
  • Project Professional 2021 costs $1,129.99.

Microsoft also offers a more flexible, scalable Project Server plan, but you must contact sales for a pricing quote.

  • Resource management capabilities included.
  • Native time tracking included.
  • Reporting feature is easy to use.
  • On-premises deployment option.
  • Innovative AI features.
  • Suitable for managing very long, complex projects.
  • Interface will be familiar to Microsoft users.
  • Excellent customer support and user forum.
  • Unclear when Copilot will become widely available.
  • Very expensive AI add-on.
  • No native file management or team collaboration tools.
  • Doesn’t integrate well with non-Microsoft products.

For more information, read the full Microsoft Project review .

Writing and editing assistance

Writing and editing support is the most popular form of AI project management assistance right now. These AI features can help generate project summaries, write email drafts and edit reports for spelling errors, among other things. Some platforms go a step further and allow you to digitize handwritten files or translate one language to another.

Task and project management

As AI advances, more platforms are adding task and project management capabilities as well, but it’s still less common than writing and editing assistance. Depending on what project management tools you choose, the AI can help cross-tag projects, retrieve a project status, assess risk and generate project plans.

While automations aren’t technically AI, they are an important feature to look for in any project management software. Automations help users set up automatic workflows to eliminate redundant manual work and reduce human errors. Automations are becoming more widely available, but some software may cap the number of automations per account or only support certain types of automations.

Project views and templates

The best project management software should provide multiple project views to choose from as well as a library of templates so that you don’t have to build everything from scratch each time. The software should also give you the ability to create and save custom templates to suit your company’s unique needs.

Integrations can significantly increase the functionality of any project management software. Integrations ensure that your data flows seamlessly from one platform to another and also add more features to your project management software. Some project management software offer native integrations, while others rely on third-party services like Zapier.

The availability and cost of AI features vary a lot from platform to platform. Some only offer writing and editing assistance, while others offer project and task management . Some charge an extra fee for AI functionality, while others limit certain features to certain pricing tiers. Other features may be limited to a restricted beta testing group or are otherwise not currently available to the public. Comparing the availability of AI features can help you narrow down your options considerably.

When choosing an AI project management tool, definitely take advantage of free trials in addition to demo calls with the sales team. Most of the platforms we included in this roundup also offer a forever free plan that allows for more extensive software testing, not limited by the days of a free trial. If you’re still unsure after testing the software out, opt for a month-to-month plan instead of a yearly one so you’re not locked into an annual contract if you need to switch later.

To select the best AI project management tools, we consulted product documentation and user reviews. We consider factors such as pricing, free trials, availability of AI features, user interface design and customer support. We also consider features such as writing and editing assistance, risk factor assessment, project summary generation and project plan creation.

A CRM is a customer relationship management system, which is used to help businesses organize and maintain all their customer data in one place. It’s typically a software-based platform that helps companies effectively manage relationships with both current and potential customers.

CRMs usually house important customer information, such as contact data, customer preferences and purchasing history. This helps businesses build better customer relationships by giving them service that fits their needs and preferences. For example, if a customer has recently bought a car, the CRM should be able to track that purchase and provide tailored marketing materials or upsell suggestions, such as oil changes and other routine services.

CRMs also allow businesses to automate tasks, such as email campaigns or automated notifications. This helps streamline communication with customers, making it easier to keep them updated on your business’s offerings and changes. Additionally, they can help identify customer trends and behaviours, which can inform future marketing or product decisions.

The best free CRMs are designed to help businesses keep track of customer information in an organized and secure way. They provide users with tools for managing leads, tracking sales and staying on top of important tasks.

There are many benefits to using a CRM for your business on both a macro level and at scale. It can help save time, money and can improve the customer experience.

Here are other benefits of implementing a CRM into your business processes:

  • Centralized customer data: With a CRM system, businesses can store and manage all customer data in a central location, allowing for better collaboration and communication between different departments.
  • Improved lead management: A CRM system enables businesses to capture and track all interactions with prospects and customers, helping to optimize lead generation and personalize marketing campaigns to convert more leads.
  • Increased customer retention: Using a CRM solution, businesses can anticipate and solve problems faster, prevent customer churn and automate customer outreach, resulting in increased customer retention rates.
  • Data-driven insights: CRM systems provide valuable data analytics tools that help businesses make more informed decisions, improve sales forecasting and identify areas for improvement.
  • Automation of tasks: A CRM solution can automate repetitive and time-consuming tasks, freeing up sales, marketing and customer service teams to focus on delivering exceptional customer experiences.
  • Improved revenue and cost savings: A CRM can help businesses improve lead conversion rates, customer retention rates and revenue per sale while saving on sales and marketing costs, ultimately leading to increased profitability.

Choosing a free CRM can be a great option for small businesses and startups looking to manage their customer relationships without breaking the bank. However, it’s important to understand that with most free CRMs, you’re getting a watered-down version of its offerings—what you can do with it will probably be very limited compared to a paid version. Switching CRMs can be a pain, so try to look for a CRM that can grow with you.

Here are some basic steps to follow when choosing a free CRM:

  • Know what you need: Before getting a free CRM, know what features and capabilities you need. Think of the data you need to monitor, the manner in which you will communicate with customers and what metrics you need to monitor.
  • Research available options: Look for free CRM software that offers the features you need. Make sure to check for any limitations or restrictions on the free version.
  • Read reviews and comparisons: After narrowing down your options, compare different CRM systems to see how they stack up against each other. Look for user reviews, industry reports and comparisons of features, usability and pricing.
  • Test the software: Most CRMs offer a free trial. Use that time to test out each of its features, its UI and how it might work for your business. What’s missing? What’s working well?
  • Consider scalability: As your business grows, you may need to upgrade to a paid version of the CRM or switch to a different platform. Look for a CRM system that can scale with your business and offers the features you need as you grow.
  • Check for integration capabilities: Make sure the CRM integrates with other tools and software you use, such as marketing automation platforms or email marketing software. This will help ensure smooth data flow and avoid data silos.
  • Evaluate support and training: Consider the level of support and training offered by the CRM vendor. Look for resources such as online help centres, video tutorials and customer support options to ensure that you can get the help you need if issues arise.

Key Features

When choosing a CRM, look for features important to your business. Most include the following:

  • Contact management: Store and manage customer contact information, including names, email addresses, phone numbers and social media profiles.
  • Sales tracking and forecasting: Track sales opportunities and deals, including their progress through the sales pipeline, and provide data for forecasting future sales.
  • Task and activity management: Create tasks and activities for team members, such as following up with leads, sending emails and scheduling appointments.
  • Marketing automation: Automate marketing tasks, such as email campaigns, social media posts and targeted ads.
  • Lead management: Track leads and their interactions with the company, including website visits, form submissions and email opens.
  • Reporting and analytics: Provide insights into sales and marketing performance, allowing businesses to track metrics, such as revenue, conversion rates and customer acquisition cost.
  • Integration with other tools: Integrate the CRM with other tools and software, such as marketing automation platforms, customer service software and email marketing software.
  • Mobile access: Access the CRM on mobile devices, enabling team members to manage customer relationships on the go.
  • Customization: Customize the CRM to specific needs, such as creating custom fields, workflows and reports.
  • Collaboration: Allow team members to share customer info, communicate with each other and collaborate on tasks and projects.

Types of CRMs

CRM software comes in different types, each with its own set of features and capabilities, designed to assist businesses in effectively managing customer relationships, improving customer satisfaction and driving revenue growth. Below, we’ll delve into the three primary types of CRMs: Collaborative, Operational and Analytical.

  • Collaborative CRM: This type of CRM focuses on facilitating communication and cooperation between various departments and stakeholders within an organization. It provides features such as shared customer data, communication tools and workflow automation, ensuring that all teams work together towards the common goal of enhancing customer experience.
  • Operational CRM: An operational CRM is designed to streamline and automate operational processes such as sales automation, marketing automation and customer service automation. It encompasses functionalities such as lead and opportunity management, campaign management and customer service management, which help businesses in delivering seamless customer experiences at every touchpoint.
  • Analytical CRM: Analytical CRMs concentrate on data analytics and provide businesses with valuable insights into customer behaviour and preferences. They offer features such as data mining, customer segmentation and predictive analytics, enabling businesses to make informed decisions and deliver personalized experiences to their customers.

Free vs. Paid CRM Software

Free CRM software can be an attractive option for businesses looking to manage their customer relationships without incurring additional expenses. However, free CRMs often lack advanced features and functionalities that are available in paid software. Here are some common features that free CRMs may lack compared to paid solutions:

  • Advanced customization options: Free CRMs may not offer extensive customization options, limiting businesses’ ability to tailor the CRM to their specific needs.
  • Robust reporting and analytics: Free CRMs may not have as many reporting and analytics capabilities as paid software, which could limit businesses’ ability to gain valuable insights from their customer data.
  • Integrations with other tools: Free CRMs may not offer as many integrations with other business tools, such as marketing automation or customer service software, which could limit businesses’ ability to automate and streamline their operations.
  • Customer support: Free CRMs may not offer the same level of customer support as paid solutions, which could leave businesses without the help they need to resolve issues or troubleshoot problems.

If a business is working with limited resources and desires an uncomplicated CRM system to maintain its customer relations, choosing a free CRM may be the best choice. On the other hand, if a business has more advanced needs, such as extensive customization, comprehensive reporting and analytics or integration with other tools, a paid CRM solution may provide the necessary features and functionalities to meet those needs.

Additionally, paid CRMs often offer more robust customer support, which can be critical for businesses that rely heavily on their CRM software to manage their operations. Ultimately, the decision to choose a free or paid CRM solution will depend on the specific needs and resources of the business.

When analyzing the best free CRM software available, Forbes Advisor considered an array of factors, including features, customer support, ease of use, user experiences and integrations. Assigning a weighted score to each value, we then narrowed the field to the seven best free CRMs on the market.

While not every CRM on this list includes each of these features, many do, or have enough value-added benefits to make up for the feature that’s missing. In addition to features, we considered how user-friendly the CRMs were and what kind of customer support they offered. We also analyzed user reviews, to get a sense of what real users thought of the CRMs.

Pricing – 10%

First, every provider had to offer a free forever plan in order to qualify for our best free CRM list. However, not all free plans are created equal, so we considered factors such as how many users are included with the free version, how much storage is included and any other limitations. We also considered the cost of premium plans as businesses often grow out of free plans and it’s important to choose a CRM that offers budget-friendly paid plans for when you need more features.

General Features – 40%

The first set of features we considered in evaluating the best free CRMs were core features such as pipeline management, analytics tools, integrations, customizable dashboards, the availability of a document library and a mobile app. We assigned a weighted score to each feature, based on its perceived importance, and then totalled the scores to arrive at a percentage of the total score that each feature represented.

Additional Features – 15%

The second set of features we considered were additional features that were not included in the general features category, such as email marketing and multi-currency support. We assigned a weighted score to each feature, based on its perceived importance, and then totalled the scores to arrive at a percentage of the total score that each feature represented.

Reviews and Ratings- 5%

The third set of features we considered were reviews and recognition. We assigned a weighted score to each feature, based on its perceived importance, and then totalled the scores to arrive at a percentage of the total score that each feature represented.

Expert Score – 30%

Lastly, we considered our own expertise from first-hand experience using these CRMs. This category includes factors such as value for price, popularity and ease of use.

To calculate the total score for each CRM, we added up the scores for each criterion and multiplied by the corresponding weight. The maximum total score for each CRM was 5.00.

We used this methodology to ensure that the best free CRMs were chosen based on a comprehensive evaluation of their features and user experiences.

What is the best free CRM?

  • Zoho CRM is a cloud-based application that integrates with other Zoho business products to help sales teams manage customer relationships and increase revenue.
  • monday.com CRM can be customized for any business with features, such as drag-and-drop interfaces and unlimited contacts, pipelines and boards.
  • EngageBay offers a free CRM option with appointment scheduling, task management, deal pipelines and a live chat feature.

What is CRM automation?

CRM automation refers to the use of technology to automate repetitive tasks and processes within a CRM system. This includes automating tasks, such as data entry, lead capture, follow-up emails and appointment scheduling, allowing sales and marketing teams to focus on more high-value tasks.

What are some benefits of using a CRM?

Some benefits of using a CRM include sales automation, contact management, email tracking, prospect tracking and pipeline management.

How does a CRM work?

A CRM works by tracking and managing customer and prospect interactions in one central location. This can include contact information, sales interactions, meeting notes and more.

What is an open-source CRM?

An open-source CRM offers businesses a high level of customization. Instead of being developed and controlled by one company, it consists of a source code published publicly and shared by users and developers all around the world. What makes an open-source CRM beneficial is that anyone with the know-how can “open up” the software themselves and change features, interface elements and virtually anything else as they see fit.

The fun (and useful application) in using public source code is that businesses can tweak and update it however it sees fit based on the design and growth of the company. Open-source software, such as a CRM, is ideal for niche businesses requiring specific features not offered by the large traditional platforms.

Does CRM require a large IT investment?

There are plenty of cloud CRM solutions that information technology (IT) novices can employ. You don’t have to make a large investment in physical IT infrastructure or hire IT staff to manage your CRM. Many CRM solutions are available as software as a service (SaaS), which means that you only pay for what you use and can stop using it at any time.
