What's the difference between an escort card, place card and seating chart?

An escort card is an object , meant to be taken by wedding guests, displaying attendee names and table assignments. A seating chart similarly disseminates table assignments, but via a stationary display for guests to look at, but not interact with. If used, place cards tell wedding guests which specific seat at their table belongs to them.

"A seating chart is a (much more beautiful) version of a mall directory that guests can reference to find out where they're sitting during the reception. They're often displayed in a central location that all guests will pass by at some point, and often categorized by table number or by guests' last names," says Ashley Lachney of Alston Mayger Events . Along the same line, Dena Cohen of The Planning Society explains that, "both seating charts and escort cards direct guests to a specific table. A seating chart lists your guests' names in alphabetical order with the table number next to the name or grouped together according to table number, for all guests to see. It can create an unexpected and fun entrance into the event space. Seating charts can be personalized , monogrammed and calligraphed on a variety of formats—acrylic boards, mirrors, wood, fabric, glass, chalkboards, specialty paper, etc. Escort cards are typically the more formal of the two seating methods at a wedding or event and can be customized to the couple's special story, theme, colors or season. Creativity and unique ideas are endless. Escort cards can be organized alphabetically on a table, arranged against a backdrop or hung from greenery, florals, twine or even a chandelier. Each escort card will have the guest's name or couple's name and table number included and will allow for guests to take the card with them and can also serve as a favor. Some escort cards can also include the guests' meal option." She goes on to note that if you want to go a step further in formality, "you can place a personalized table card (or place card) at each place setting, so your guests know exactly where they are sitting at the table."

When should you make a wedding seating chart?

While a seating chart can't be finalized until all your RSVPs are in , you should certainly begin the preliminary planning process early. Brooke Avishay of Orange Blossom Special Events advises couples to start early. "Generally, you should be able to create a rough plan for seating while you're waiting for your RSVPs to come in. Getting a head start on this will save a lot of grief as you approach the big day. If you do about 80 percent of the work while you're waiting for responses, all you'll need to do is make some small adjustments once you've received all RSVP cards ."

How do you make a seating chart for a wedding?

Thankfully, there are plenty of online wedding planning tools out there (and wedding seating chart templates) to help with the actual task of assigning seats. From AllSeated.com to WeddingWire's seating chart tool , these online resources give you the ability to look at a diagram of your reception and drag and drop to assign tables. Before even getting to that stage, it's a great idea to add notations to your RSVP spreadsheet to help categorize attendees. Whether you add a column to signal how you know a given person or color code based on whether they're family, a college friend or a work colleague, starting to group guests early on will make it easier to assign seats. Of course, if you're more of a tactile person, the paper plate method is a trusted option. Lay out a collection of paper plates on your table and use flag sticky notes to decide who sits where. To save space, you could even get your reception floor plan enlarged and printed on a poster board before using sticky notes to play around with potential table assignments.

Should a seating chart be organized alphabetically or by table?

This is a hotly debated question and even industry professionals are split as to which style of seating plan is best. Generally speaking, arranging your guest list alphabetically is the more efficient method, but for a very small guest list, couples can consider making an exception to organize by table number.

Janice Carnevale of Bellwether Events advises couples to "always always always organize a seating chart alphabetically by the last name. If it is organized by table, as I have seen in photos, it takes guests a longer time to find their name and table assignment, and staring at a poster is no way to spend a cocktail hour. Listing guests by table causes a bottleneck, and generally, it is not a pleasant guest experience." Shannon Ducker of Shannon Rose Events agrees that when it comes to large guest counts, alphabetical is the only logical organization method. "For guest counts of 100 guests or fewer, it's perfectly acceptable to organize a seating chart by table if the design lends itself better to that method. For any events larger than 100 guests, you should always organize alphabetically so that guests can find their seating assignment more easily." Ducker goes on to suggest that seating charts list parties and not individual guests as this "allows for couples and families to find their table faster since they are only having to look once for their table."

We love a table plan so much, we've dedicated a whole episode of our Podcast to it! There are SO many fantastic wedding table plan ideas out there for how to make your table plan look gorgeous, but here are 10 of our recent favourites.

Perspex has been everywhere this year - it looks clean, stylish, and super sleek and can be designed to suit any style of wedding, as you can see in our examples. You can either DIY or get in touch with one of our Recommended stationers for an idea of the process involved and the cost.

Copper has been the metallic colour of choice this year - a little harder-edged than rose gold, but with the warmth that silver sometimes lacks, this shade is just perfect for wedding styling. The examples below couldn't be more different, but all are really striking. Hanging copper pipes make a really interesting piece of decor, and the classic frame looks beautiful at the entrance to your wedding reception venue.

My favourite of the bunch of wedding table plan ideas - the minimal design. These table plans are easy to read, but look really striking and just need a simple floral flourish to shine.

Hanging Details

The hanging table plan is going nowhere - we love how pretty these look and if you're having a destination wedding (or get married in a heatwave) it's a lovely piece of decor for outside too.

The peg board table plan is a great option as it can be changed if any last minute cancellations come in. They also look really stylish and you're left with a fun item for your home afterwards - it's a win win purchase.

If you're having escort cards, rather than a table plan (escort cards show you which table you're sitting at, but the seats at the table aren't necessarily allocated to specific people) then using shutters is a wonderful way to display them. They provide a natural place to slot the cards and provide a striking piece of decor to fill space in your venue.

Planning Your Wedding Table Arrangements

Today we’re focusing in on the all-important aspect of wedding reception planning – the setup and layout of your wedding breakfast tables.

It may seem a little boring, but a part of the wedding planning process requires that you get your head around your wedding table plan. Before we discuss table layouts, we’ll consider some other factors affecting your table arrangement plans.

Size of the room

This can greatly affect the layout of your tables. Rooms that are more rectangular than square, or rooms that are quite narrow tend to be problematic.

The top table should contain your closest family, together with yourself and your partner. This is usually two mums and dads, the best man and chief bridesmaid. The other close family members should be placed on a table not so far away!

It’s best to put friends with friends, family with family. This is a very tricky process, and you should take a great deal of time to think this over.

Depending on your guests, there may be many factors that might lead you towards putting certain guests on certain tables. If a couple of people have a history of not exactly getting along, maybe you could and should separate them.

If you know that certain guests are relatively outgoing and confident, but don’t know all that many people at your wedding, then use them in the gaps on tables you haven’t filled yet.

What tables to have?

Tables at wedding receptions are typically round or circular. These work well, as every one of your guests can have a social view of another. They also allow for a greater number of tables in the room (depending on the dimensions of the room), are easy to navigate and simply look divine!

If you are having your wedding reception in a narrow room, then rectangular tables would be your best option for utilising the space.

How your wedding venue can affect your table layout

The wedding organisers at larger or more experienced wedding venues will have predetermined table layouts for the rooms they normally host wedding receptions in. This is great if you don’t want to worry about organising this part of your wedding, but you may find it prudent to get involved (for reasons we shall discuss below!).

Venue Table Layouts

If you have been doing a little bit of your own research and looking at wedding venue’s websites, you may have come across some confusing terms.

If the words ‘Cabaret’ , ‘Banquet’ and ‘Boardroom’ in the context of tables mean nothing to you, then you are in the right place.

These terms partially exist in the world of weddings thanks to a crossover from the realm of conferencing – where venue staff would have to communicate with businessmen and their delegates and lay out the most optimum table formats for meetings. Thrilling, right?

Unfortunately, a lot of venues who do conferences as well as weddings don’t try to adapt their lingo for their wedding brochures, which can easily result in some confusion on your behalf if you’re left trying to decode it all.

To make things a little easier for you, we’ve taken the time here to go through the various table plans venues or caterers may suggest, allowing you to familiarise yourself with each option and to decide what might work best for your celebration.

The ‘Theatre’ Layout

This layout is pretty self-explanatory from the name. If you see a ‘theatre’ capacity listed in a wedding brochure, this refers to how many chairs can be arranged in rows with an aisle in between. This is, for obvious reasons, the layout of choice for civil ceremonies.

For the same obvious reasons, it’s not exactly ideal for your wedding breakfast. ‘Theatre’ layouts often allow for a larger capacity than any layouts involving tables, so bear in mind that you likely won’t be able to fit as many people in the room in question for your wedding breakfast as you would for your ceremony.

The ‘Banquet’ Layout

A very common table layout at wedding receptions, this is often the most space-effective option, allowing for large tables seating usually up to 10 guests each. The top table can blend in nicely with this layout, allowing you as newlyweds to have a bit more privacy than a ‘long’ top table, and is also better for socialising.

However, ‘long’ top tables can also be combined with this table layout, although that may cut down the capacity of the room.

This layout has a lot of advantages, as it allows you to make the most of your venue’s space whist also building a good atmosphere amongst your guests by seating them in a way that pretty much ensures conversation. For some venues or couples, however, it could perhaps feel a little too formal.

The ‘U-Shape’ Layout

If you have a particularly large or oddly shaped room, then a U-Shaped layout may suit you well. This allows everyone to sit at long tables joined together in a – you guessed it – U-shaped formation. This is a less commonly seen table layout nowadays, but can still work in certain situations.

The pros of this layout are that it can fit around a dance floor, allowing easy transition from wedding breakfast to your evening reception, and that you’ll have a great vantage point from which to see all of your guests. It’s also handy for speeches. The major con, however, is that it’s not very sociable.

You and your guests will only comfortably be able to chat to the people seated to your immediate left and right, so it may not create the best atmosphere.

The ‘Open Square’ Layout

Similar to the U-Shaped layout, the Open Square just adds an extra side to the shape. This will naturally accommodate more guests, as you’re adding an extra table, but still presents the same problems as the U-shape does when it comes to being able to socialise with other guests.

It also leaves a lot of empty space in the middle (which no one will be able to get to except any naughty children who slip under the table), which could always be used more effectively. It is, however, advantageous for speeches, as all of your guests will easily be able to look at whoever is talking.

The ‘Long Table’ Layout

Think Hogwarts’ Great Hall or the banqueting halls seen in Game of Thrones… or maybe your own school dining hall. The ‘Long’ layout involves long tables lined up in rows, with the top table at the front of the room. This is a good layout to consider if you’re having a less formal wedding breakfast within a spacious venue like a marquee.

It allows for plenty of guests to be seated comfortably in a way that should encourage socialising and a good atmosphere. It also allows for a clear top table, so all eyes can be on you, if that’s what you have in mind. It should also make speeches easy to see/hear for your guests. This layout is not ideal, however, for smaller venues or if you’re wanting your wedding to have a more formal feel.

Other Table Plans You May Come Across

Cabaret – Unless you’re planning to hold some attention-grabbing entertainment such as a magician or comedian at your wedding reception, cabaret layouts aren’t really ideal for weddings. Similar to banquet table layouts, but the number of chairs is reduced and place on one side of the table, facing in the direction of the entertainment.

Boardroom – Likely not going to be relevant to you unless you want your wedding breakfast to have the same vibe as an episode of ‘The Apprentice’, this table layout involves one large table with guests sitting on all sides. It doesn’t allow for many guests at all, as the table takes up most of the space in the room.

If, however, you’re planning a small or intimate celebration (no more than 20 people), this might be ideal as it will allow you to stay close to all of your loved ones.

Classroom  – This layout has no bearing on weddings whatsoever, and should be ignored if you see it in a brochure. If you’re curious, it typically refers to a number of small tables dotted around the room which can sit 2-4 people. Obviously this would be a bit odd for a wedding, so we don’t suggest it as something you should consider.

Wedding Table Names: What to Name Them and Why Not Numbers?

Many couples have steered away from using numbers to identify their tables, as some guests (Great Aunt Ethel for example) may feel a little miffed or unwanted when they are put on table 8; the hierarchy doesn’t go down too well!

Add to this that table numbers can be a little boring, then the need, or rather the opportunity, for distinguishing names arises.

What to name them?

First of all, think about your wedding’s theme . Almost all weddings have a theme, whether you realise it or not! Here’s a selection of various ideas that we’ve come across on our wedding travels:

Which colour scheme are you using? If your scheme is red, then how about naming your tables with synonyms or variations of this such as maroon, burgundy, sanguine, ruby or vermilion?

Name your tables after places that are significant to you or the guests on that table. Have you visited a few cities or countries that mean a lot to you? Do the guests on a particular table come from a particular town, city or county?

Play with different languages. I’ve been to a wedding whose tables were named after several translations of the word ‘love’, such as amore, amor, liebe.

Hobbies or passions. If you and your partner share a love for a certain activity, such as sailing for example, you could name the tables after aspects of this: tiller, jib, keel, close-haul, tack, port, starboard etc…

Films are another common table name idea. Often couples take only parts of the film’s name to make them easier to say/print or make them enigmatic. Other aspects are taken from films, such as fictional areas and characters: Shawshank, Shrek, Jurassic, Rivendell, Shire etc…

Other ideas include planets , football teams or stadiums, songs, authors, and celebrities.

If you want something with more of a ‘wow’ factor then creating an entire display around the chart is gorgeous. You could even add pictures of the bride and groom! Be sure to tie in other details of the day too like the colour scheme or if the day has a theme to it.

I love all of the unique seating plan but the one with Ella falling on the floor is one of my favorites….with this seating plan, you really have to know your guests personally to get these candid shots….love it!

We used keys as seating cards, similar to the one you have pictured! It worked out SO well as did the seating arrangements. I was worried before beginning to make the arrangements but we found http://www.socialtables.com and it made it actually kind of fun, crazy I know! Good luck to all brides 🙂

It is amazing what great ideas people come up with for their table plans. I quite like the first one, but I think you might have to allow quite a lot of time in your wedding breakfast schedule for people to find where they are 😉

I am looking to buy a typewriter – I love the idea of typing out the table plan – anyone know where i can buy one – get hold of one.

We made our day really special with 1) Stationery made by http://www.pecographe.com – compared to loads of others on the market they were very reasonable. 2) We hired a London bus to transport guests from church to wedding reception. 3) We also used lottery scratchcards as table favours. 4) Our wedding cake was from the Hummingbird Bakery (Carrot Cake) in three sizes and then mounted on a cakestand bought on Ebay.

A very popular option here in Tuscany this here are wedding seating plans made with corks 🙂

But we used a lot also cards made from fabric and hung from the limbs of a native Tuscan tree!

How do you make a seating plan for a wedding.

First, make sure you've added your guest list in the Guest List tool. This will make seating your guests with the Seating Chart effortless. As you add each guest, it's a good idea to add them to a group. By grouping your guests, when it comes time to adding them to the seating chart, you'll see your guests by group, such as groom's family or mutual friends. You can add as many groups as you like. Then, simply drag and drop a rectangular or round table onto your Seating Chart. You'll be prompted to choose how many guests will be seated at the table. Your venue or caterer should be able to tell you how many guests fit around their tables, so be sure to check this first. Then you can drag and drop your guests into their seats and arrange the tables as you wish.

Who normally sits at the top table at a wedding?

Traditionally, at the wedding top table the couple sits at the centre, surrounded by the couple's parents and then the best man/men and/or chief bridesmaid(s). Of course, you decide the rules, so this is entirely up to you as a couple.

Is a Seating Chart necessary for a wedding?

A seating chart is certainly not necessary, but it is very helpful as it ensure that guests are able to sit at a table with people they know and get along with. It's up to you to be thoughtful when you assign seats and tables, to make sure everyone at your wedding has a good time. If you are having a very small, intimate wedding, perhaps a seating chart isn't quite as important, however it's certainly nice to have and so easy to put together with our free Seating Chart tool.
