There’s no denying the plethora of software for managing projects in the market. A new project management software comes out daily, better than the previous versions.

But even with all the excellence. Not a single software has been able to take the place of Excel project management – and there’s no wonder why.

Microsoft Excel is by far one of the most efficient software for managing tasks. And a huge number of project managers all around the world only use Excel for their work.

Their familiarity with the Excel spreadsheet greatly contributes to the software’s favor. Excel offers so many wonderful project management templates, and a lot of them are for FREE! 🤩

However, know that you can always switch to Microsoft Project software. That is if you prefer more advanced project tracker template options.

Now, let’s see the templates Excel has to offer.

1. Gantt Chart Template

The Gantt Chart template is a very helpful visual tool. It gives you an overview of the project schedule of your team at all times.

A typical example of its use can be a small content creation agency. It needs a system to assign tasks and keep a record of the deliverables. This way, you are never behind schedule.

In the Gantt chart, all the data is represented in color-coded bars. And you can customize them for different teams and individuals by changing the colors, elements, and more.

You can divide the tasks into phases or milestones with a summary of their progress. The chart also offers different layouts, and you can choose any one that suits your needs and appeals to the eye.

Excel has different variations of the Gantt chart template, from simpler ones to advanced charts. One of the most used Gantt chart templates includes the  Vertex42 Simple Gantt Chart .

You can get it from Excel templates as well. And if you don’t understand  how to create a Gantt chart , try watching this YouTube tutorial.

In addition to the simple template, you can also use the  Ultimate Excel Gantt Chart . That is if you are a business that is constantly expanding. This graph can be a bit difficult to understand, but nothing a  YouTube video  can’t solve.

2. Project Budget Template

Finalizing the budget is the first step toward successful project management. And you wouldn’t want to make any mistake here as it sets the base of the project.

You must keep track of all the expenses from start to end, and the project budget template helps you do just that.

It color-codes Balance when you are exceeding your project’s budget. This is your cue to reconsider the expenses. The best part is that you can set expenses per team, phase, equipment, travel, and others using this.

You can get the all-in-one Project Budget template from  the Project Manager . It can even help you set an estimate for all the project resources and costs. The template comes with two sheets, including a how-to guide.

But it isn’t limited to that. You can explore other options. And even customize a project budget template using  SmartSheet .

3. Action Item Report Template

The Action Item Report is one of the most useful Excel templates. Every company has a to-do list of items assigned to its team.

The Action template lets you organize the tasks and keep the workflow going swiftly. It lets you set the task status as high, low, or medium and shows each task’s progress in one glance.

You can rank tasks, update deadlines and pay special attention to team members who need help.

It is the perfect template for effective project management. You can get the Action template from Excel or from  Vertex 42  – both work wonderfully. 😉

4. Project Dashboard Template

The project dashboard template gives you a bird’s eye view of all the tasks and their statuses.

It gives you a visual representation of where your team stands. And gives you the latest key performance metrics every time.

You can also choose the layout or style you want in your Excel project management template. This makes it easy to understand the project phases.

And the best part is that this  Project Dashboard template  is 100% free – the only fee is your Email.

Protip: Check out my top-6 dashboard templates here !

5. Multiple Project Tracking Template

Being a project manager is not an easy task. Managing multiple tasks and supervising the team spells difficult. And on top of that, sending daily reports to authorities is enough exertion.

A little help in the form of a reliable project planning timeline template is necessary. It can be a tad bit complex to understand, but once you get a hold of it, you should be able to do it with your eyes closed.

The  Multiple Project Tracking Template  lets you manage all the tasks in one go. You can add as many projects as you like, manage over 40 tasks at once, and you get all this for free! Isn’t that amazing?

Download yours today and manage your daily tasks with a few clicks only. 😃

6. Status Report Template

There is nothing more embarrassing than being the project manager and not having the correct project details. Luckily, we have the Status Report template to save the day.

It lets you keep an eye on your progress as a team and identify challenges. So you can prepare for the next project while keeping the data compact and concise.

You can also keep strict and clear intel on the workflow. And this is so important while managing different projects.

If you are not already using the  Status Report template , you are working blind-eyed. And the resources of the project are subject to threat.

Using the Project Status Report template, you will know where the team members lack and how you can help them. This helps construct more relevant and purposeful follow-ups than simply increasing the bottlenecks.

7. Critical Path Method Template

CPM has a special place when it comes to project management.

With the Critical Path Method, you can pay special attention to tasks that are long overdue. Provide extra resources, and determine which task requires more consideration with increased proficiency.

Usually, you’d need specialized software to keep track of such details. But now all you need is the CPM software.

The best part is that it’s so simple you don’t need to learn any new formulas or terms to perform a critical analysis. Moreover, you can simply copy and paste data acting upon a few guidelines.

The CPM uses a Gantt chart that works like a bar chart . But offers more benefits with increased ease of use and low cost.

Creating and designing a CPM is truly a challenging task. But with this new, free version of  Critical Path Method , provided by Vertex42, you can set it up in minutes. 😀

8. Project Timeline Template

Project timelines are great for having an overview of all important tasks. They give you an insight into the project plan that you and your team can follow timely.

This way, there are no communication gaps. And everyone is well aware of their tasks and the deadlines approaching. It really adds to a more peaceful and organized working environment.

You can also customize the template as you like. You change the color bars from 6 different colors. And quickly insert and delete milestones.

Although this template is very resourceful, creating it can be tedious. This is why we’ve brought you the  free Project Timeline template  that has everything prepared for you. Just erase the existing text and add your own – you’re good to go!

9. Content Calendar Template

If you’re a blogger or a social media person, a content calendar is your go-to tool. And without a calendar, you’re knee-deep in trouble. 😬

But thank God we have Excel to our rescue.

The brilliant  Content Calendar template  of Vertex42 is tailor-made for your needs. It will take you through all the chaos – from planning content to publishing it.

It will not only help you plan your content but also track its progress and schedule content to post.

Once you get a hold of it, it will really be your best friend in times of urgency. A single glance at your calendar in the morning, and you’re well prepared for the tasks of the day.

And the best part is that it’s free to use, unlike the other expensive, good-for-nothing project management software. So get your free Content Calendar template today!

That’s it – Now what?

But it doesn’t end here. You can choose any project schedule template from the Microsoft Excel templates. And even customize one to fit your needs.

What Is Included in a Weekly Status Report?

A weekly status report should include a high-level summary of project status, as well as general budget, schedule, risk, and resource information. Weekly updates should be kept simple, with more detailed descriptions of status reserved for monthly or quarterly reports.

Weekly reports should identify whether budgets and schedules are over, under, or on track regarding the anticipated status. Use these reports to identify potential risks early, and keep resource information current, so that there are few surprises. A weekly report is a snapshot of a project’s progress with relatively little exposition. It is meant to provide visibility into the day-to-day accomplishments of a team.

How to Write a Weekly Status Report

Begin writing your weekly status report with a summary of your project’s overall status. Identify whether or not your budget and schedule are on track, and briefly describe any risks or additional resources used.

The best way to ensure consistent and accurate reporting is to use a status report template. By standardizing the contents of your weekly reports, you can more easily identify outliers between weeks and ensure you are thinking about your progress the same way every week.

To write your weekly status report, follow the steps below:

  • Write a Summary of the Week’s Accomplishments: Recap the week’s achievements and the project’s status as a whole. Note any milestones you achieved and any major tasks you began or completed. Establish what you hope to accomplish the following week, and follow up on issues from the previous week’s report.
  • Outline Your Schedule’s Progress: State whether your schedule is on track, ahead of, or behind schedule. Make a note of any timeline changes.
  • Summarize Your Budget: Summarize the health of your budget. Make note of any major changes since the previous week and whether or not your projections are on track.
  • Identify Any Additional Resources Needed: List additional resources you used or identified as a need for the week.
  • State Any Anticipated Risks: List risks or roadblocks that became apparent during the week. If you have notes for addressing or avoiding them, include them in this section, too.
  • Include Other Notes as Necessary: Many projects have additional, unique considerations. If your stakeholders have requested extra information weekly, be sure to include those updates in your status report.

To learn more about the importance of regular status reporting and what to include, read our guide to creating effective project status reports .

Project Management Dashboard / Project Status Report using Excel [Part 6 of 6]

  • Last updated on October 1, 2019

Chandoo

This is the last installment of project management using excel series.

Preparing & tracking a project plan using Gantt Charts Team To Do Lists – Project Tracking Tools Project Status Reporting – Create a Timeline to display milestones Time sheets and Resource management Part 5: Issue Trackers & Risk Management Project Status Reporting – Dashboard Bonus Post: Using Burn Down Charts to Understand Project Progress

Communication is a very important aspect of project management. Communicating with stakeholders, sponsors, team members and other interested parties takes up quite a bit of project manager’s time.

In almost all the projects I have been part of, the first and foremost question anyone used to ask us is, “how is the project going?”. There is no one line answer to this. A project status dashboard or project status report can help us express the project status in a crisp yet effective manner.

In today’s installment of project management using excel series, we will learn how to make a project management dashboard using Microsoft excel. [related: Making Dashboards using Excel ]

To make the project management dashboard, you must answer the following questions,

  • Top management or project sponsors or team members or other departments?
  • Day to day issues or High level stuff or Plans or Budgets?
  • Weekly, Bi-weekly or Monthly or Once in a blue moon?

The answers to these questions will determine what goes in to the dashboard and how it should be constructed.

For our example, I have assumed the following scenario, but you can easily change the dashboard constituents based on your situation.

  • Audience of the report: Project Sponsorship Team
  • Interested to know: Project Progress wrt Plan, Blocking issues, Overall timeline and Delivery Progress
  • Frequency: irrelevant (could be weekly or bi-weekly)

Step 1: Make an outline sketch of the dashboard

Based on the above answers, we vaguely know what should go in to the dashboard. Based on this, we should make an outline sketch of the dashboard. This will help you structure the dashboard on an excel spreadsheet. For our example, this is the outline I have prepared.

Project management dashboard - outline sketch

Step 2: Get the data to be placed on dashboard

Making a dashboard in excel is a complex and intricate process. Knowing the outline of the dashboard is only the 10% of work. Getting your data to calculate the dashboard metrics (or KPIs) is the most vital part of any dashboard construction.

In our outline, the sections 1,2 and 3 are purely data and 4,5 and 6 are charts prepared from data.

To facilitate this, first, let us create a worksheet named “data” where we can capture user inputs. These inputs can be further manipulated to make the dashboard.

For our dashboard, we need the following inputs,

  • Overall project status and progress
  • List of ongoing activities and issues

We will derive other inputs from the following,

  • Project Plan Gantt Chart discussed in Part 1 will provide us the project plan
  • Project Timeline Chart in Part 2 will give us the timeline chart
  • Burn down chart will give us the project deliverable status
  • Issue Tracker discussed in Part 5 will give us the metrics related to issues

Step 3: Put everything together and make a dashboard

[PS: I have greatly simplified the process of dashboard construction to keep the article readable. Please note that this step usually takes a few of hours and has lot more detail]

Now that we have all the bits of our data ready, we just need to bring them together to make a dashboard.

We will use the following excel concepts,

  • Excel Camera Tool to get a live snapshot of the project gantt chart
  • Conditional Formatting to show Red, Green or Amber traffic light to depict the project status
  • Thermo-meter chart to show the project progress against 100% total
  • We will create a stacked bar chart of outstanding issues by using SUMIFS formula . [counts for issue status=”open” and issue priority=”high”, issue status=”open” and issue priority=”medium”, issue status=”open” and issue priority=”low”]

Let us place the remaining pieces of dashboard from already constructed charts and available data,

  • Burn-down chart to show the project deliverable status
  • Project Time line to show the project milestones over a period of time
  • We will create references to the “issue” and “activity” data and show only the first 5 items.

See the below illustration to understand how each part of the dashboard is constructed.

That is all, our dashboard is ready now.

@Miguel: Thank you. Your dashboard looks very good. It is inclined towards the budget and finances of the project. I have kept those aspects out of this series. May be I will revisit the financial aspect of projects at a later point.

@Rishil: Thank you. Yes, you can create flash based charts (or even simple image based charts) and embed them in a project dashboard that can be published to the team using intranet (like sharepoint). This is how large companies usually do it. Thanks for sharing the Askwiki article.

Hi Chandoo - this series is an excellent resource and tutorial, thank you for sharing.

When I sat down to consider what my dashboard should look like, one of the most important features for me is to be able to maintain version control and to show simply on what version is on display.

Apart from the naming convention of the file name, is there a good way to do this within a dashboard? I'd be interested to hear your thoughts!

@Larph: Welcome 🙂

> You can do version control thru Macros (but always remember that your audience can disable macros)

> Another option is to use a static time stamp / version number in the title page of dashboard that you update manually whenever you make changes to the file

> In excel 2010, you can keep track of file versions from File menu. This can be used to select a previous version of dashboard.

> Best option is to use a version control system like SVN or upload files to Sharepoint or something like that. This will take care of versioning for you (although it is a bit technical and dashboard audience may have difficulty figuring the versions out).

> The easiest option is to use filenames and the CELL() formula to get the version number (or date) from the filename so you can show it on the dashboard.

How to Make a Project Timeline In Excel

Excel wasn’t designed for project scheduling , but fortunately, we can use its stacked bar chart feature for creating a simple Gantt chart project timeline. Here’s what you’ll need to do.

1. List Tasks and Their Due Dates

Start by creating four columns for your task names, start and end date and duration. List your tasks and due dates in day/month/year format, but leave the duration column empty. We’ll add a formula to calculate task duration in the next step.

2. Create a Formula for Calculating Task Duration

Go to the first row in the duration column, and enter a formula to subtract the “End (Date)” value from the “Start (Date)” value. To do so, begin by typing an equal symbol “=” to start creating a formula, then select the “End (Date)” cell, add a minus symbol “-” and finally select the “Start (Date)” cell as shown below. The difference between these two values will determine the duration of each task measured in days.

Excel project timeline formula

Apply the same formula to the remaining cells in the task duration column. Then you should have a table that indicates your project tasks, their due dates and duration. Now it’s time to create a Gantt chart so you can visualize your project timeline.

3. Insert a Stacked Bar Chart for Your Excel Project Timeline

Select all values in the “Start (Date)” column and then insert a stacked bar chart following these steps:

  • Click on the “Insert” tab at the top left corner of your screen
  • Click the chart icon
  • Select the stacked bar chart

4. Select Data for Your Excel Project Timeline Gantt Chart

Once you complete the last step, a stacked bar chart should automatically appear. Now we’ll need to add some data to it so it shows your project timeline information. Right-click your stacked bar chart and click select data from the dropdown menu.

Select data for your project timeline

A window will pop up. Now, click “add” as shown in the example below.

Now choose the “Duration (Days)” column header as the series name and then, select all the numeric values in the “Duration (Days)” column as the series value.

Select data

Again, right-click your stacked bar chart and click on select data. This time, select edit under “horizontal (category) axis labels” once the window pops up and then select the values from the task name column as shown in the examples below.

5. Format Your Excel Project Timeline

Now your project timeline’s Gantt chart has the right data. Now it’s time for the final formatting steps to create your project timeline in Excel. Right-click on the blue bars of your stacked bar chart, go to the “fill” options and select no fill. This will make those blue bars disappear and will show your project tasks as the remaining stacked bars.

Now right-click the task names, select “Format Axis…” and then check the “categories in reverse order” checkbox on the right side of your screen.

Advantages of an Excel Project Timeline

Now that you’ve learned how to make a project timeline in Excel, it’s important that you clearly understand both the pros and cons of using Excel for project scheduling or project management . Let’s start with the advantages of using a project timeline for Excel.

  • Most People Are Familiar With Excel: Excel is a very popular software that’s widely used by organizations across industries, so your team members are likely familiar with it.
  • Compatible With Project Scheduling Software: Excel files can be exported to advanced project management software such as Microsoft Project or ProjectManager, which have much more advanced project scheduling features and are easier to use.
  • Simple to Use Project Timeline Template: Our Excel project timeline is simple to use. All you need to do is fill out the template with your project information and it will automatically generate a Gantt chart project timeline.

Disadvantages of an Excel Project Timeline

While a project timeline for Excel can help you visualize your project timeline, it’s a very limited tool with very few project scheduling features that can’t compete with more robust project management software .

  • Limited Project Scheduling Functionality: Our Excel project timeline only allows you to get a high-level view of your project timeline, but lacks advanced Gantt chart software features such as assigning tasks to team members, monitoring their progress, identifying task dependencies or finding the critical path .
  • No Online Collaboration, Hard to Share Files: Excel doesn’t allow multiple users to collaborate on files online, which means everybody has to work on their copy of the Excel project timeline. Worse than that, that means that whenever someone makes changes to it, it needs to be sent to everyone on your team.
  • Editing Excel Files Is Time Consuming: In general, creating, editing and maintaining Excel project documents and templates is a time-consuming process that involves too much manual work.
