What Is Included in a Weekly Status Report?
A weekly status report should include a high-level summary of project status, as well as general budget, schedule, risk, and resource information. Weekly updates should be kept simple, with more detailed descriptions of status reserved for monthly or quarterly reports.
Weekly reports should identify whether budgets and schedules are over, under, or on track regarding the anticipated status. Use these reports to identify potential risks early, and keep resource information current, so that there are few surprises. A weekly report is a snapshot of a projectâs progress with relatively little exposition. It is meant to provide visibility into the day-to-day accomplishments of a team.
How to Write a Weekly Status Report
Begin writing your weekly status report with a summary of your projectâs overall status. Identify whether or not your budget and schedule are on track, and briefly describe any risks or additional resources used.Â
The best way to ensure consistent and accurate reporting is to use a status report template. By standardizing the contents of your weekly reports, you can more easily identify outliers between weeks and ensure you are thinking about your progress the same way every week.
To write your weekly status report, follow the steps below:
- Write a Summary of the Weekâs Accomplishments: Recap the weekâs achievements and the projectâs status as a whole. Note any milestones you achieved and any major tasks you began or completed. Establish what you hope to accomplish the following week, and follow up on issues from the previous weekâs report.
- Outline Your Scheduleâs Progress: State whether your schedule is on track, ahead of, or behind schedule. Make a note of any timeline changes.
- Summarize Your Budget: Summarize the health of your budget. Make note of any major changes since the previous week and whether or not your projections are on track.
- Identify Any Additional Resources Needed: List additional resources you used or identified as a need for the week.
- State Any Anticipated Risks: List risks or roadblocks that became apparent during the week. If you have notes for addressing or avoiding them, include them in this section, too.
- Include Other Notes as Necessary: Many projects have additional, unique considerations. If your stakeholders have requested extra information weekly, be sure to include those updates in your status report.

Why Use MS Excel For Project Status Reporting?
- Excel allows using formulas and macros which can be used populate data in columns. It allows graphs and chart which can be used to create project schedules and Gantt charts.
- Status reports tend to have layouts which are blocked or categorized based on the project KPIs that need to be reported. For example â Project Schedule, Budget, Resources, Timeline, Risks, Issues and actions items.
- One of the most widely used techniques in status reporting is RAG (Red Amber Green) to indicate how the project is progressing. Please read RAG reporting to find out how you can use it in your project.
- Traffic lights are a natural way of reporting status. Excel provides calculation options which are easy to use and will help in implementing an automated traffic light system based on the updates.
- Conditional formatting is the most useful feature for status reporting. With the help of conditional formatting, we can implement Risk Scores, Project Scores, Thresholds and most of the other tolerance levels.
- Excel data or graphs can easily be integrated into other MS Office or online dashboard tools.
- Excel allows references so it easy to have data in one tab and display the summary or overall view in another. For example, you can a have a list of risks in a separate tab and just show the total risks in a different tab.

Communication is a very important aspect of project management. Communicating with stakeholders, sponsors, team members and other interested parties takes up quite a bit of project manager’s time.
In almost all the projects I have been part of, the first and foremost question anyone used to ask us is, “how is the project going?”. There is no one line answer to this. A project status dashboard or project status report can help us express the project status in a crisp yet effective manner.
In today’s installment of project management using excel series, we will learn how to make a project management dashboard using Microsoft excel. [related: Making Dashboards using Excel ]
To make the project management dashboard, you must answer the following questions,
- Top management or project sponsors or team members or other departments?
- Day to day issues or High level stuff or Plans or Budgets?
- Weekly, Bi-weekly or Monthly or Once in a blue moon?
The answers to these questions will determine what goes in to the dashboard and how it should be constructed.
For our example, I have assumed the following scenario, but you can easily change the dashboard constituents based on your situation.
- Audience of the report: Project Sponsorship Team
- Interested to know: Project Progress wrt Plan, Blocking issues, Overall timeline and Delivery Progress
- Frequency: irrelevant (could be weekly or bi-weekly)
Step 1: Make an outline sketch of the dashboard
Based on the above answers, we vaguely know what should go in to the dashboard. Based on this, we should make an outline sketch of the dashboard. This will help you structure the dashboard on an excel spreadsheet. For our example, this is the outline I have prepared.
Step 2: Get the data to be placed on dashboard
Making a dashboard in excel is a complex and intricate process. Knowing the outline of the dashboard is only the 10% of work. Getting your data to calculate the dashboard metrics (or KPIs) is the most vital part of any dashboard construction.
In our outline, the sections 1,2 and 3 are purely data and 4,5 and 6 are charts prepared from data.
To facilitate this, first, let us create a worksheet named “data” where we can capture user inputs. These inputs can be further manipulated to make the dashboard.
For our dashboard, we need the following inputs,
- Overall project status and progress
- List of ongoing activities and issues
We will derive other inputs from the following,
- Project Plan Gantt Chart discussed in Part 1 will provide us the project plan
- Project Timeline Chart in Part 2 will give us the timeline chart
- Burn down chart will give us the project deliverable status
- Issue Tracker discussed in Part 5 will give us the metrics related to issues
Step 3: Put everything together and make a dashboard
[PS: I have greatly simplified the process of dashboard construction to keep the article readable. Please note that this step usually takes a few of hours and has lot more detail]
Now that we have all the bits of our data ready, we just need to bring them together to make a dashboard.
We will use the following excel concepts,
- Excel Camera Tool to get a live snapshot of the project gantt chart
- Conditional Formatting to show Red, Green or Amber traffic light to depict the project status
- Thermo-meter chart to show the project progress against 100% total

When I sat down to consider what my dashboard should look like, one of the most important features for me is to be able to maintain version control and to show simply on what version is on display.
Apart from the naming convention of the file name, is there a good way to do this within a dashboard? I'd be interested to hear your thoughts!

I was going through the Portfolio dashboard and I had a question. Â When I enter in additional holidays they are highlighted in the gantt chart. Made a slight variation on the schedule sheet,
1. Add a date column for start 2. In week column cell use =weeknum() and link to date cell 3. Hide week column
When you enter in a date for each task the week number is populated accordingly simple but more effective, you can also dynamically link the date cell to your MSP project file for even more automation!!

For most Microsoft 365 subscriptions and versions of Office (2013 and later), you need to associate an account with your product. This is the account you use to sign in to Microsoft365.com and what you use to install or reinstall the apps, or to manage your subscription. Depending on your product, this account can be a personal Microsoft account (such as Hotmail.com, Outlook.com, Live.com), or a work or school account assigned by someone in your organization.
Note: Some products purchased through an employee Microsoft Workplace Discount Program  (formerly known as Home Use Program) benefit or volume license versions (managed by an organization's IT department) might not require an account. The information below doesn't apply to these Office versions or Microsoft 365 subscriptions.
Sign in to the dashboard for your account
Open a desktop app like Word or Excel, or go to Microsoft365.com .
Tip:Â You might be prompted to sign in. Make sure to sign in with the account associated with Microsoft 365 or Office. If you canât remember which email address you associated with your subscription or Office product, see I can't remember the Microsoft account I use with Microsoft 365 .
From the header, select your Account manager .
Depending on your account type, select My Microsoft account or View  account .
Your account dashboard is displayed and what you can do next depends on if you're signed in with a Microsoft account , or a work or school account .
Select the tab below for the type of account you're signed in with.
If you selected My Microsoft account , the Microsoft account dashboard will open. This is where you manage your Microsoft account and any Microsoft products associated with this account.
On the Microsoft account dashboard, select Services & subscriptions to view all Microsoft products associated with this account.Â
For non-subscription versions of Office (such as Office 2013 and later): Find your Office product and select Install . Follow the prompts to install or reinstall the desktop apps.
For Microsoft 365 Family or Personal subscriptions: Select Install premium Microsoft 365 apps and follow the prompts to install or reinstall the desktop apps.
On the Microsoft 365 subscription tab, select Manage . From here you can:

Cancel a subscription
For Microsoft 365 Family subscriptions, you can start sharing your subscription, and add or remove people you're already sharing with. If you're not the subscription owner, you can see who's sharing Microsoft 365 with you, or choose to leave the subscription.
If you selected View account , the My Account dashboard for your work or school account will open. Here you can:
Install and manage your apps. On the Office apps card, select Manage , and select Install to install or reinstall the latest desktop apps, or other apps such as Project or Visio. (An install option is available as long as your admin assigned you a license and gave you permission to self-install.)

How to Make a Project Timeline In Excel
Excel wasnât designed for project scheduling , but fortunately, we can use its stacked bar chart feature for creating a simple Gantt chart project timeline. Hereâs what youâll need to do.
1. List Tasks and Their Due Dates
Start by creating four columns for your task names, start and end date and duration. List your tasks and due dates in day/month/year format, but leave the duration column empty. Weâll add a formula to calculate task duration in the next step.
2. Create a Formula for Calculating Task Duration
Go to the first row in the duration column, and enter a formula to subtract the âEnd (Date)â value from the âStart (Date)â value. To do so, begin by typing an equal symbol â=â to start creating a formula, then select the âEnd (Date)â cell, add a minus symbol â-â and finally select the âStart (Date)â cell as shown below. The difference between these two values will determine the duration of each task measured in days.
Apply the same formula to the remaining cells in the task duration column. Then you should have a table that indicates your project tasks, their due dates and duration. Now itâs time to create a Gantt chart so you can visualize your project timeline.
3. Insert a Stacked Bar Chart for Your Excel Project Timeline
Select all values in the âStart (Date)â column and then insert a stacked bar chart following these steps:
- Click on the âInsertâ tab at the top left corner of your screen
- Click the chart icon
- Select the stacked bar chart
4. Select Data for Your Excel Project Timeline Gantt Chart
Once you complete the last step, a stacked bar chart should automatically appear. Now weâll need to add some data to it so it shows your project timeline information. Right-click your stacked bar chart and click select data from the dropdown menu.
A window will pop up. Now, click âaddâ as shown in the example below.
Now choose the âDuration (Days)â column header as the series name and then, select all the numeric values in the âDuration (Days)â column as the series value.
Again, right-click your stacked bar chart and click on select data. This time, select edit under âhorizontal (category) axis labelsâ once the window pops up and then select the values from the task name column as shown in the examples below.
5. Format Your Excel Project Timeline
Now your project timelineâs Gantt chart has the right data. Now itâs time for the final formatting steps to create your project timeline in Excel. Right-click on the blue bars of your stacked bar chart, go to the âfillâ options and select no fill. This will make those blue bars disappear and will show your project tasks as the remaining stacked bars.
Now right-click the task names, select âFormat AxisâŚâ and then check the âcategories in reverse orderâ checkbox on the right side of your screen.
Congratulations! Youâve created an Excel project timeline equipped with a working Gantt chart that’ll adjust itself based on the task information data you add to the table.
